Supervisor, Practice Operations
Job Summary:

The Supervisor, Practice Operations provides direct supervision to front office and clinical staff assigned within the region and provides multi-site operational support in all facets to improve practice operations and efficiencies. This includes but is not limited to, clinical operations, front office functions, general administrative support, regulatory compliance, training and education. Collaborates with leadership to ensure efficient SOP execution and best practices performed in the physician office setting. Act as liaison between PM Operations and new practice acquisition staff members.

Qualifications:
Associate degree and 2 years office management in a practice/healthcare setting; or equivalent combination of education and experience where two years related experience equals one year of schooling. MDVIP physician-facing experience demonstrating the knowledge and skills required may substitute for specific prior experience.
  • Effectively implements policies, procedures, systems, and objectives. Ability to interpret, adapt and apply guidelines and policies and procedures.
  • Experience with general ledger and expense reporting/bookkeeping and budgeting.
  • Demonstrated familiarity and experience using computer systems and applications, including Microsoft Office applications, and EHR applications. Experience utilizing EMR billing system applications, including dashboard / checklist modules.
  • Ability to communicate effectively with patients, clinical and administrative staff, and the public. Demonstrates excellent written and verbal skills, using proper grammar, spelling, punctuation, and sentence structure to answer correspondence and prepare reports.
  • Ability to plan, organize, and oversee staff.
  • Ability to operate office equipment.
  • Ability to adhere to clinical safety regulations/guidelines.
  • Ability to react calmly and effectively in emergency situations.
Responsibilities:
Daily supervision of front office and clinical staff at assigned locations, ensuring achievement of short and long-term work plans and objectives.
  • Monitors guidelines for quality of patient care by practice staff, prioritizes work activities, evaluates effectiveness, and modifies activities as necessary to ensure appropriate staffing levels are maintained at the discretion of the Practice Operations leadership.
  • Provides remote or onsite guidance to offices assigned within their region. Visits each office weekly. Recommends processes and procedures for improvement.
  • Facilitates regular staff meetings and huddles, including establishing agenda in consultation with physicians; assists with preparing data for meetings.
  • Provides staff with feedback and additional training as needed.
  • Assists with enhancing revenue cycle management process including areas such as billing timing, discrepancies, and administration.
Onboarding and Training of new Employed Staff and New Hires
  • Trains new Medical Office Coordinators (MOC) and other front office staff when hired or during a transition to the employed model.
  • Assists with associated implementation tasks for Athena implementation.

Facility and Operational Management
  • Assesses practice needs for equipment and/or services and provides recommendations to the Practice Operations leadership for identified replenishment/needs.
  • Provides support in the setup of new vendors.
  • Assists leadership with multiple practices, adhering to established budgetary guidelines.
  • Works as a liaison with the MDVIP-approved EHR team in the training and development of physicians and staff.
  • Partners with the Quality and Compliance team to ensure compliance with all applicable state and federal regulations such as protecting patients’ rights under HIPAA. Collaborates with leadership to ensure patient satisfaction.
