The Opportunity
An exciting opportunity exists to join the Governance team as a Systems and Administration Coordinator, supporting key governance, compliance and assurance activities across the Diocese.
Working closely with the Quality and Assurance team, you will coordinate administrative, policy and system processes, maintain accurate records and documentation, and provide responsive support to a broad range of stakeholders. Suited to a highly organised and proactive professional, this role requires strong attention to detail, the ability to handle sensitive information with discretion and integrity, and the confidence to work both collaboratively and autonomously while contributing to continuous improvement and operational excellence.

POSITION DESCRIPTION
The purpose of this position is to provide administrative assistance to the Quality and Assurance Manager and team to support regulatory compliance and assurance activities, policy administration and maintenance of systems that support these and the broader Governance Department functions.
This role involves coordinating various administrative tasks to facilitate the development, implementation and maintenance of organisational policies, procedures, and systems.
This position supports the Quality & Assurance Team in the delivery of key initiatives and programs across the diocese as well as improving systems and processes of the team and support Diocesan Partners and other team members within the Governance Department.
The incumbent commits to working within Work Health and Safety guidelines and Code of Conduct at all times whilst in the employ of the Catholic Diocese of Maitland-Newcastle.
Skills and Experiences:
SKILLS AND EXPERIENCE
- Proven experience in providing administrative support, preferably in a policy or regulatory environment and delivering services across a wide range of stakeholders.
- Excellent organisational and time management skills with a sound ability to organise, prioritise and multitask a substantial workload in order to execute work accurately, meet deadlines, manage competing demands, and respond to changing circumstances.
- Demonstrated ability to develop and positively communicate and engage with internal and external stakeholders.
- Ability to maintain a high level of confidentiality and handle sensitive information with discretion and integrity.
- Self-motivated with the ability to work autonomously and be responsible and accountable for own work with the capacity and willingness to work in a team environment.
- Proficiency in using office productivity software (e.g., Microsoft 365 Programs, SharePoint, electronic systems for managing policy, risk and assurance activities.
- TAFE Qualifications in Business Administration or equivalent and/or 3+ years’ experience in providing a high level of administrative support.
- Current Working with Children Check (WWCC) as required if risk assessed role.
