About Us:

Evcone Ireland Ltd. are a fit-out and technical services company specialising in the retail sector.

We are seeking a proactive and detail-oriented Administrator for our Technical Services department. This role is pivotal in supporting day-to-day operations, ensuring smooth administrative processes and excellent client service.

You will handle a variety of tasks including accounts support, invoicing, purchasing, and project-specific administration. If you thrive in a fast-paced environment and enjoy working collaboratively, this is the role for you.

Key Responsibilities:

  • Highlight urgent maintenance issues to contract managers.
  • Upload PPM and reactive service reports for review by contract managers.
  • Enter subcontractor PPM and reactive service reports on IT System review for completion or follow up.
  • Ensure all work orders are accurately documented and uploaded to management system.
  • Input data to client portal and manage approval process.
  • Upload statutory PPM service reports to client system.
  • Act as first point of contact for helpdesk calls, interact with client helpdesk staff and management.
  • Arrange work permits and security.
  • Prepare and issue weekly client invoices and monitor payments.
  • Maintain accurate financial records using Sage or similar accounting software.
  • Upload quotations to client portals and manage purchase orders.
  • Act as the first point of contact for helpdesk calls and liaise with client teams.
  • Assist with monthly accruals, timesheets, and expense management.
  • Coordinate travel arrangements, appointments, and departmental diary.
  • Maintain up-to-date filing systems and contribute to process improvements.
  • Support ad-hoc administrative requests and general enquiries. .

Requirements:

  • Previous experience in a similar administrative role.
  • Proficiency in Sage or equivalent accounting software.
  • Strong communication skills – assertive yet diplomatic.
  • Ability to work independently and take ownership of tasks.
  • Excellent organisational and time management skills.
  • Strong IT skills and willingness to learn new systems.
  • Fluent English speaker.

Education:

  • Leaving Certificate (preferred)

Experience:

  • Microsoft Office: 1 year (required)
  • Administration: 1 year (required)

Job Type: Full-time

Pay: €32,000.00-€35,000.00 per year
