Project Coordinator – Coordination Machine in Human Form

This position is for our office located in Cumming, GA and serves clients in Georgia, Arizona, northern California, and nationwide.

What will you do?

Client and Communication Support

  • Serve as a primary point of contact for client communications and updates during active projects, ensuring information is clearly conveyed in non-technical language.
  • Maintain effective communication flow between clients, Project Managers, and technical teams, keeping all parties informed about current progress, upcoming tasks, and any scheduling changes.
  • Provide status updates throughout the project lifecycle, focusing on coordination and clarity rather than project-level decision-making.
  • Support the Project Manager in preparing for client meetings, project kickoff calls, and milestone updates, ensuring materials and data are organized and ready for presentation.

Scheduling and Coordination

  • Coordinate and schedule project tasks to the appropriate Project Engineer or Technician based on skillset, workload, and project requirements.
  • Maintain and update Project Engineer and Technician calendars, ensuring task assignments align with project timelines and milestone deadlines.
  • Monitor resource availability and adjust scheduling to maintain alignment with project priorities and delivery goals.
  • Collaborate with the Project Manager to confirm task sequencing, dependencies, and handoffs between technical phases.
  • Communicate scheduling changes or conflicts to internal teams promptly, helping prevent project delays or milestone slippage.
  • Coordinate onsite visits, remote sessions, and client interactions for assigned resources to ensure readiness and alignment with project plans.
  • Document and track scheduled activities within ConnectWise Manage (or equivalent systems), maintaining visibility for both internal teams and leadership.
  • Work proactively to identify and escalate scheduling risks, such as resource constraints, overlapping commitments, or unexpected delays, to the Project Manager for resolution.

Tracking and Documentation

  • Maintain accurate project notes, time entries, and task updates in ConnectWise Manage to ensure accountability and transparency.
  • Track milestones, deliverables, and completion progress to help the Project Manager maintain visibility into the project’s current state.
  • Support the creation and maintenance of project documentation in IT Glue, ensuring all relevant coordination details, checklists, and process SOPs are kept current.
  • Assist in verifying that project closeout documentation is complete, organized, and archived properly.
  • Maintain an accurate account of budget hours for projects, providing Account Manager, Client, and vCIO regular updates on budget numbers and any changes to scope/budget during execution.

Process and Standards Support

  • Learn and utilize internal management systems and suggest process improvements that enhance coordination and efficiency.
  • Participate in ongoing training related to Project Coordination, documentation tools, and IT systems commonly deployed to clients.
  • Ensure projects adhere to technology standards, naming conventions, and process frameworks during coordination, flagging discrepancies to the Project Manager or engineering lead.
  • Support adherence to project timelines and procedural compliance, acting as a liaison to ensure all internal teams follow established standards.

General Support

  • Handle occasional service-related coordination to assist in the smooth transition between project and service operations.
  • Collaborate with Project Engineers and Technicians to ensure client training sessions are properly scheduled and executed, confirming clients are informed and comfortable with new solutions prior to project closeout.
  • Maintain a focus on client satisfaction, ensuring coordination activities contribute to a positive implementation experience.
  • Assist in after-hours coordination when project timelines, client requirements, or technical challenges necessitate it.

Qualifications and Skill Requirements:

  • College diploma or university degree in the field of business management, project management, information sciences, or related field and/or 2 years equivalent work experience.
  • Project + Certification desired.
  • CAPM or PMP certification desired.
  • Annual renewal/updating of certifications where updates are available.
  • General knowledge of computer hardware, including Lenovo and HP.
  • General knowledge of Microsoft systems, tools, etc. that will be deployed during project execution.
  • Time Tracking experience with ConnectWise (or similar PSA tool).
  • Proven track record of developing timelines, milestones, and scheduling out project initiatives to help with forward forecasting.
  • Strong understanding of the organization’s goals and objectives.
  • Exceptional written and oral communication skills.
  • Exceptional interpersonal skills, with a focus on listening and questioning with purpose.
  • Strong documentation skills.
  • Ability to absorb and retain information quickly.
  • Ability to present ideas in user-friendly language to non-technical staff and end users.
  • Kean attention to detail.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment as it relates to project coordination.
  • Exceptional customer service orientation.
  • Dexterity of hands and fingers to operate a computer keyboard, mouse, power tools and other computer components.
  • Lifting and transporting of moderately heavy objects, such as computers, servers, UPS, and peripherals.
  • Valid Driver’s license and reliable method of transportation.
