Job Summary
We are seeking a proactive and detail-oriented Accounts Payable Specialist to join our team. In this vital role, you will be responsible for managing the company’s accounts payable processes, ensuring timely and accurate payments to vendors, suppliers, and service providers. Your expertise in financial software, accounting principles, and compliance standards will help maintain the integrity of our financial operations. This position offers an exciting opportunity to contribute to our organization’s financial health while working within a collaborative and growth-focused environment.
Key Responsibilities
- Multi-Entity Management: Process invoices for three separate entities, ensuring proper GL & Cost Code coding, purchase order matching, and allocation to the correct entity.
- Invoice Processing: Review, verify, and enter high-volume vendor invoices accurately.
- Payment Execution: Process, schedule, and reconcile payments (ACH, checks, wires) for all entities weekly or as scheduled.
- Vendor Relations & Reconciliations: Reconcile vendor statements to detect discrepancies, resolve disputes, and maintain positive vendor relationships.
- Expense Management: Process employee expense reports and reimbursements.
- Month-End Close: Assist in monthly AP closing, aging report analysis, and accruals for all entities.
- Compliance: Ensure compliance with company purchasing policies and 1099 annual reporting.
Qualifications
- 2–5 years of AP experience, preferably managing multiple entities.
- Strong understanding of GAAP standards.
- Proficiency in accounting software (e.g., Sage 100, Timberline, Concur) and Excel.
- High attention to detail and ability to meet strict deadlines.
- Excellent organizational and communication skills.
Skills
- Excellent communication and interpersonal skills.
- Strong organizational and time-management skills to manage multi-entity responsibilities.
- Proficiency in MS Office and Construction Accounting Software.
Pay: $55,000.00 - $65,000.00 per year
