DESIGNATION : Administration Executive
RESPONSIBILITIES
- Administration Support to the Singapore Regional Business Officer:
- Manage the Business Officer's calendar and schedules.
- Handle email correspondence on behalf of the Business Officer.
- Coordinate and schedule meetings.
- Manage travel arrangements, including cash in advance.
- Submit claims and purchase requisitions.
- Prepare reports and correspondence both within and outside the department.
- Maintain the document filing system and electronic library.
- Minute Secretary:
- Prepare and distribute the agenda to the Regional Business Board.
- Record meeting minutes and inform relevant parties of key decisions.
- Follow up on action items from meetings.
- Insurance:
- Liaise with insurance brokers regarding regional claims.
- Respond to inquiries about insurance claim procedures.
- Maintain insurance-related documents.
- Contracts Management:
- Update and manage the contracts database for Singapore Regional Headquarters.
- Liaise with internal departments to track the status of contracts.
- Ensure contracts are reviewed and renewed before expiry.
- Fleet Management:
- Coordinate vehicle purchases and manage petrol fleet cards for Regional Headquarters vehicles.
- General Support:
- Provide secretarial support to the units under Business Administration when necessary.
- Maintain a procedure manual for backup support.
- Assist with other tasks and projects as assigned.
- Ensure confidentiality and security of information.
- Keep up-to-date with industry trends and professional development.
QUALIFICATIONS
- Bachelor's degree / Diploma in Business Administration, Accounting or equivalent
- Previous experience in non-profit organization and/or secretarial support preferred
- Strong organizational and multitasking skills
- Meticulous, detailed and to meet deadlines in a timely manner
- Proficiency in MS Office, particularly in Excel
- Ability to work independently and as part of a team
- Excellent communication and interpersonal skills

Working hours
8.30am to 5.00pm, 5 day work week
