THE POSITION:

The Administrative Support Officer provides effective and efficient administrative support relating to (but not confined to) financial processes, records management, event bookings, purchasing and administrative services. Provides administrative support to ensure efficient operation within Strategic Partnerships for the Fairfield City HQ. This position also represents the first point of contact with the clients and customers and would be responsible for performing essential front desk administrative duties while maintaining a professional image of the Fairfield City HQ and Fairfield City Council.

ESSENTIAL:

Skills and experience in administration and with the ability to provide responsive administrative support to the Fairfield City HQ.

  • Demonstrated experience with venue administration (front desk administration and customer service)
  • Demonstrated experience with pre-event planning, during events logistics and post event.
  • Organisation and time management skills combined with the ability to work unsupervised, handling competing priorities to adapt to fluctuating workloads and changing priorities
  • Ability to apply initiative and problem solve on issues encountered in day-to-day activities to determine and implement an appropriate course of action
  • Skills and experience working within a customer service environment with the ability to achieve a high level of customer satisfaction
  • Interpersonal and communication skills including oral, written and verbal skills, for exchange of information with a diverse range of internal stakeholders
  • Experience in all MS Office applications (Excel, Word, PowerPoint), including email and internet as well as databases
  • Minimum 3 years’ skills and experience in a relevant field
  • Class C Driver’s License
  • Demonstrated ability to apply EEO, WH&S and ethical practice principles and to act with probity at all times.

DESIRABLE:

  • Qualifications in event management, tourism, hospitality or a related field, and/or extensive relevant work experience
  • Knowledge of Council operations and relevant policy and procedures

Other Requirements

  • This position will be required to work within a seven-day roster, including evening and weekends

SALARY & EMPLOYMENT CONDITIONS:

  • 1x permanent part time position - 28 hours per fortnight
  • 1x permanent part time position - 42 hours per fortnight
  • This position is a Grade 2, salary range is $64,067 p.a (pro rata).with progression to $70,723 p.a (pro rata). on demonstrated competencies, with performance progression to $75,049 p.a. (pro rata)
