Position Summary

The Administrative Assistant plays a vital role in supporting the daily operations of The Rolla Mission’s shelter and outreach programs. This position ensures accurate recordkeeping, smooth coordination of services, and effective communication across departments. The ideal candidate is highly organized, detail-oriented, and compassionate, with a commitment to serving individuals experiencing homelessness.

Key Responsibilities

Daily Tasks

  • Update and maintain the emergency shelter attendance list
  • Assist with morning reset procedures for patrons
  • Categorize and file receipts using QuickBooks Online
  • Record information in client database.
  • Pick up and sort mail
  • Stamp all incoming mail with date or return status.
  • Securely deliver donations to designated staff or safe.
  • Answer phone calls and direct individuals to appropriate resources.
  • Make copies of incident reports, meal counts, and HMIS documentation.

Weekly Tasks

  • File documents and organize patron folders.
  • Check inventory and order supplies as needed.
  • Assist with organizing the donation table.
  • Enter weekly meal counts into the system.

Qualifications

  • High school diploma or equivalent; associate degree preferred.
  • Prior administrative or nonprofit experience strongly preferred.
  • Proficiency in Google Workspace, data entry systems, and basic inventory tracking.
  • Strong organizational and time management skills.
  • Familiarity with QuickBooks Online
  • Excellent communication and interpersonal abilities.
  • Ability to maintain confidentiality and handle sensitive information.
  • Commitment to the mission of serving individuals experiencing homelessness.

Job Type: Part-time

Pay: $14.00 per hour

Expected hours: 20 – 30 per week
