Position Overview
We are seeking a skilled, adaptable Executive Personal Assistant to support the President during and after an exciting post-acquisition transition. Based in Decatur, AL, this role provides high-level administrative and operational support while the President travels between company locations.
This position requires a proactive, organized professional who can manage complex priorities, maintain discretion, and ensure seamless executive support for executives who are on-site or remote. While primarily focused on executive support, the role may occasionally assist with broader administrative or project-based tasks across departments. Limited personal support may also be needed to help optimize the President’s time and effectiveness.
Key Responsibilities
Executive Support
- Manage dynamic calendars and prioritize competing demands
- Coordinate domestic and international travel, itineraries, and logistics
- Prepare reports, presentations, correspondence, and briefing materials
- Screen communications and ensure timely follow-up
- Represent the President in meetings as needed, providing clear, actionable summaries
- Track key action items, deadlines, and executive priorities
- Provide remote support while the President travels, ensuring continuity and responsiveness
Operational & Project Coordination
- Support special projects and cross-functional initiatives
- Conduct research and summarize information for decision-making
- Manage expense reporting and administrative processes
- Maintain organized digital systems for critical information
- Identify efficiencies to streamline executive workflow
Limited Personal Support (As Needed)
- Coordinate occasional personal appointments or reservations
- Assist with time-sensitive personal logistics impacting business priorities
- Handle all personal matters with discretion and professionalism
Qualifications
- 3–7 years supporting senior executives (C-level or VP-level preferred)
- Strong organizational, prioritization, and time management skills
- Excellent written and verbal communication abilities
- Professionalism, discretion, and trustworthiness
- Proficiency in Microsoft Office, and scheduling tools
- Ability to anticipate needs and operate independently in a fast-paced, evolving environment
