We are seeking a reliable, detail-oriented part-time administrative assistant to support the daily operations of a growing, service-focused plumbing company. This remote role offers flexible scheduling, proper tools and systems, and the opportunity to play a meaningful part in improving workflows, supporting technicians, and enhancing customer experience. What We’re Looking For
- Previous administrative or office experience (trade, construction, or service industry experience is an asset)
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities
- High attention to detail and accuracy
- Comfortable working with invoicing, CRM, and accounting software
- Proficiency with computers and office software (Microsoft Office, Google Workspace, etc.)
- Ability to work independently, manage priorities, and take initiative
What You’ll Be Responsible ForAdministrative & Customer Support
- Answer and manage incoming phone calls, emails, and customer inquiries
- Handle customer intake, filtering, and accurate data entry
- Schedule service appointments and coordinate with plumbing technicians
- Maintain organized digital job files
Invoicing, Financial & Systems Support
- Manage invoicing and point-of-sale (POS) systems
- Prepare and issue invoices, estimates, and work orders
- Track payments and receivables
- Assist with basic bookkeeping tasks
- Correspond with payroll and bookkeeping providers, including submission of P&L reports
- Back-cost completed projects by tracking labour time, materials, and miscellaneous expenses
CRM, Follow-Ups & Business Support
- Assist with CRM system setup, maintenance, and data accuracy
- Conduct customer follow-ups for reviews, referrals, and repeat business
- Support business development through organized and professional customer communication
Compliance & Documentation
- Maintain up-to-date records for certificates, insurance, licenses, and required documentation
- Ensure compliance documentation is current and readily available, including WSIB, trade certifications, municipal licensing, and insurance records
