About the Role
We are seeking a highly organized and adaptable Administrative Assistant to support the daily administrative and office operations of APS Aerospace. This role works across multiple departments and provides administrative support to staff, leadership, and the Readout Centre.
This is a hands-on role suited to someone who is detail-oriented, professional, and comfortable managing a variety of responsibilities in a dynamic office environment.
What You’ll Do
- Serve as a professional first point of contact for customers, vendors, staff, and visitors
- Coordinate shipping, receiving, courier activities, and administrative documentation
- Open and maintain work orders within the Flight Recorder Playback Center (FRPC) system
- Assist with maintaining AMO records, schedules, contact lists, and documentation
- Coordinate meetings, training sessions, company events, and related logistics
- Support office operations including calendars, filing systems, office supplies, and mail distribution
- Assist with preparation of reports, meeting minutes, presentations, and staff communications
- Support travel arrangements and administrative coordination for staff
- Maintain organized and confidential records and filing systems
- Assist with maintaining a professional, safe, and welcoming office environment
- Perform other related administrative duties as assigned
What You Bring
- Minimum 5 years of administrative or office experience
- Strong computer skills including Microsoft Office Suite, Adobe Acrobat, email platforms, and web-based systems
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Ability to work independently and collaboratively
- Adaptable and comfortable working in a dynamic environment with changing priorities
- High attention to detail and professionalism
Nice to Have
- Experience with CRM or internal tracking systems
- Experience working in aviation, technical, or regulated environments
- Dangerous Goods certification or willingness to obtain certification

Job Type: Full-time, Permanent
Work Location: On-Site at 1420 Blair Towers Place (Ottawa, ON)
