About the Role:

The University Advancement team is seeking a highly organise, proactive, and collaborative professional to join as an Administrative Officer to support the Faculty of Humanities. This position is integral to the effective operation of the Advancement portfolio, providing comprehensive administrative support to a range of strategic initiatives. You will coordinate schedules, manage communications, maintain key data systems, and assist with event logistics, all while contributing to the University’s philanthropic and alumni engagement objectives.

Working within a high-performing and purpose-driven team, you will have the opportunity to support meaningful engagement and fundraising activities that create lasting impact across the University and wider community.

Role requirements:
  • Coordinate donor and alumni stewardship activities, including correspondence, budgeting and meeting logistics.
  • Utilise the Raiser’s Edge CRM and relevant office systems to manage data and generate reports, including financials and donor engagement summaries.
  • Maintain and enhance the accuracy of constituent records through timely database updates.
  • Provide high-level administrative and logistical support to projects and events.
  • Ensure efficient and timely documentation and tracking of all activity.
  • Foster strong professional relationships with internal stakeholders and external partners.
  • Support donation processing and reconciliation in collaboration with the Gift Services Coordinator.
  • Identify and implement process improvements to enhance operational effectiveness.
  • Contribute to impactful fundraising campaigns aligned with University priorities.
Who we are looking for/Selection Criteria:
  • Coordinate donor and volunteer cultivation and stewardship activities by initiating mailings, arranging meetings and coordination.
  • Work with the Advancement Operations team to utilise the Raiser’s Edge (customer relationship management database) and other office software to maintain, extract and analyse data, and produce reports, including financial reports, donor impact reports and forecasts.
  • Maintain and update Raiser’s Edge records in a timely manner to improve data integrity and accuracy of constituent information.
  • Ensure all activity is accurately documented and actioned within appropriate timescales.
  • Provide administrative and logistical support for projects and events.
  • Manage positive and professional relationships with both internal and external stakeholders.
  • Collaborate with the Gift Services Coordinator to ensure all private support is reflected in Raiser’s Edge and to provide support with transactional activities for receiving and processing donations.
  • Resolve operational problems and facilitate the development and implementation of initiatives, processes and systems to improve efficiency.
  • Contribute to a variety of fundraising campaigns that have significant social impact across the University and community.
Role Requirements:
  • As this is a continuing (permanent) role, you will require permanent work rights in Australia to be considered
