About the Opportunity

Carroll Automotive Group is seeking a highly organized and detail-oriented Billing Clerk to join our accounting team. This position plays a critical role in ensuring the accuracy and integrity of our vehicle deal billing process. The ideal candidate will have prior automotive dealership experience, strong administrative skills, and the ability to work in a fast-paced, deadline-driven environment.

Key Responsibilities

  • Process and post all new and used vehicle retail and wholesale deals accurately and in a timely manner
  • Verify deal documentation for compliance, including sales contracts, titles, payoff statements, trade information, incentives, rebates, aftermarket products, and lender requirements
  • Review and resolve deal discrepancies in collaboration with Sales and Finance departments
  • Prepare and audit title and registration documents for accuracy, ensuring compliance with state regulations
  • Maintain and reconcile contracts-in-transit (CIT), funding logs, and accounting schedules related to billing
  • Monitor missing or incomplete funding documents and follow up with lenders and finance managers
  • Assist with accounts receivable/payable and month-end closing procedures as needed
  • Maintain organized deal jackets and electronic documentation in accordance with company policy
  • Uphold confidentiality of sensitive information while ensuring compliance with dealership policies and state/federal guidelines

Qualifications

Required:

  • 1–2 years of recent automotive dealership office experience (billing, title work, accounting, or similar)
  • Working knowledge of deal structure, lender requirements, and title documentation
  • Experience with automotive DMS systems (Dealertrack, CDK, Reynolds, Tekion, etc.)
  • High level of accuracy, strong analytical skills, and excellent attention to detail
  • Proficiency in Microsoft Excel and general office software
  • Ability to prioritize multiple deadlines with a high sense of urgency

Preferred:

  • Experience reconciling we-owe, CIT, warranty, or aftermarket schedules
  • Knowledge of Florida DMVs and title processing
