Based in Macquarie Park, Sydney and operating in a technically complex, dynamic and heavily regulated industry, Optus Secretariat is recruiting a Board Administrator to support the Assistant General Counsel, Corporate and Secretariat in providing company secretariat services to the Optus Group of companies, including its principal operating entity.
Sitting within the Optus Legal team, the Board Coordinator will work closely with Optus Legal’s executive support and provide administrative support to the broader legal function within Optus, which comprises lawyers working from Sydney, Brisbane, Melbourne and Canberra.
Key to success in this role will be meticulous attention to detail, a desire to ‘own’ tasks/matters, and the ability to coordinate tasks, set priorities and work independently.
As this role is administrative / support in nature, we will consider candidates with prior experience (such as executive assistants for C-suite).
Your day in the life of a Board Coordinator at Optus
Preparing agendas and matters arising papers for Board and Committee meetings.
Review Board and Committee papers to ensure quality of papers and consistency with Optus’ internal delegations' framework.
Plan, co-ordinate and arrange Board and Committee meetings.
Taking quality minutes, and following up on matters arising from meetings.
Managing company secretarial software access rights and privileges, and distributing papers.
Assisting with improvements in Company Secretariat processes, including precedents and templates.
Planning training and development opportunities for Board and Committee members.
Assisting maintaining internal registers.
Working closely with Singtel (the sole shareholder of Optus) Secretariat team to facilitate a high functioning relationship.
Responding effectively and with agility to urgent issues that inevitably arise.
Receive and respond to email and other correspondence for Company Secretariat matters.
Your skills to pay the bills
Prior corporate experience, with prior company secretarial experience being very favourable.
Excellent personal organisation skills, communication and stakeholder management skills.
Good experience with Microsoft suite.
Ability to influence internal and external connections.
A fantastic time manager!
Ability to work in a highly confidential environment.
