We are building a collaborative leadership structure and are looking for a Part-Time Bookkeeper / Financial Coordinator to play a key role in bringing clarity, consistency, and reliability to our financial operations.
The Role
This position goes beyond traditional bookkeeping. You will be responsible for maintaining accurate financial records while helping to establish clear, consistent processes for invoicing, tracking revenue, and supporting overall business operations.
You will work closely with the management team and play a central role in improving how financial information flows through the firm.
Key Responsibilities
Financial Management
- Record and maintain accurate financial transactions
- Reconcile bank accounts and credit cards regularly
- Ensure financial records are current and organized
Invoicing & Accounts Receivable
- Prepare and issue client invoices in coordination with project leads
- Track outstanding invoices and follow up on payments
- Maintain clear visibility of receivables and cash flow
Accounts Payable
- Process vendor invoices and manage outgoing payments
- Maintain organized records of expenses and commitments
Payroll
- Prepare and process payroll on a regular schedule
- Maintain accurate payroll records and ensure compliance with applicable regulations
- Coordinate with management on employee compensation changes and records
Reporting & Financial Tracking
- Prepare monthly financial summaries (revenue, expenses, basic profit/loss) using QuickBooks or similar software
- Assist in tracking overall financial performance
- Help improve visibility into the firm’s financial health
Systems & Process Improvement
- Help establish consistent financial workflows and procedures
- Ensure all financial activity is tracked in a centralized and reliable system
- Work with the management team to improve efficiency and clarity
What We’re Looking For
- 3+ years bookkeeping or accounting experience (professional services experience is an asset)
- Strong attention to detail and organization
- Experience with QuickBooks or similar accounting software (required)
- Experience with BQE Core or similar project-based software is an asset
- Experience processing payroll accurately and consistently
- Comfort working in a small, evolving business environment
- Clear communication skills and a proactive mindset
- Ability to bring structure where systems are still developing
Nice to Have
- Experience in architecture, engineering, or consulting firms
- Familiarity with project-based billing and time tracking
- Interest in improving processes—not just maintaining them
Schedule & Work Arrangement
- Part-time role (approximately 2–3 days per week)
- Hybrid work model: combination of in-office and remote work
- Consistent weekly schedule is important to maintain continuity and workflow
