The Opportunity

We are seeking a highly capable, detail-oriented Construction Admin & Warranty Coordinator to support and enhance the operational flow of our business. Reporting directly to the Operations Manager, this is a key coordination role with two distinct areas of ownership: managing our 1-year homeowner warranty program from possession through to completion, and providing the administrative backbone that keeps our office and construction operations running smoothly.

This is not a basic administrative role. The right candidate will bring a strong sense of ownership, the ability to anticipate needs, and a commitment to accuracy and follow-through in everything they do.

Key Responsibilities

Warranty & Service Coordination

  • Manage all 1-year warranty requests from homeowners following possession, serving as the primary point of contact throughout the process
  • Conduct scheduled homeowner follow-ups at appropriate warranty milestones and respond to concerns with professionalism and care
  • Issue, distribute, and follow up on service work orders to ensure timely completion
  • Schedule warranty appointments and trade service days, coordinating availability across multiple parties
  • Document and follow up on any after-hours concerns to ensure nothing falls through the cracks
  • Communicate effectively with Construction and Sales teams regarding service policies and homeowner information
  • Manage and maintain all warranty records within CoConstruct, our cloud-based project management platform

Office & Construction Administration

  • Maintain a highly organized, efficient, and professional office environment
  • Manage incoming communications, mail, deliveries, and office supply inventory
  • Coordinate company calendars, staff scheduling, and boardroom bookings with accuracy and foresight
  • Support construction scheduling by coordinating trades and suppliers across job sites
  • Track permits, inspections, and project milestones; maintain organized project documentation
  • Support procurement and material ordering as required
  • Provide administrative support to Service Technicians and the broader operations team
  • Identify opportunities to improve internal systems, workflows, and documentation practices

What You Bring

  • A college diploma or equivalent experience in construction, business administration, or a related field
  • Experience in a residential construction environment is strongly preferred
  • Exceptional customer service instincts — you know how to address homeowner concerns with sensitivity, tact, and professionalism
  • Proficiency in Google Workspace; experience with CoConstruct is a significant asset
  • Strong organizational skills with a high attention to detail and a track record of follow-through
  • Excellent verbal and written communication skills
  • The ability to build and maintain lasting relationships with homeowners, trades, and internal teams
  • A flexible, self-directed work style with solid interpersonal skills suited to a collaborative, fast-paced environment
