Overview
We are seeking a professional and detail-oriented Dental Receptionist to join our dental practice. The ideal candidate will serve as the first point of contact for patients, manage appointment scheduling, handle insurance verification, and support administrative functions to ensure smooth clinic operations. This role requires excellent communication skills, proficiency with dental and medical software systems, and a strong understanding of healthcare documentation and HIPAA compliance. Prior dental office experience and familiarity with EMR/EHR systems such as PracticeWorks, Dentrix, or Open Dental are highly desirable. The Dental Receptionist will play a vital role in providing exceptional patient service and maintaining accurate medical records.
Responsibilities
- Greet patients warmly and professionally, ensuring a positive first impression
- Schedule appointments using dental practice management software (PracticeWorks)
- Verify insurance coverage and benefits, including insurance verification processes
- Manage patient check-in and check-out procedures efficiently
- Collect payments and process billing using medical billing systems; handle copays and outstanding balances
- Maintain accurate patient records in EMR/EHR systems
- Review documentation for accuracy and completeness, ensuring compliance with HIPAA regulations
- Assist with patient intake procedures, including updating medical histories and insurance information
- Answer multi-line phone systems with excellent phone etiquette; handle appointment rescheduling and inquiries
- Collaborate with clinical staff to ensure seamless clinic operations and care plans documentation
- Maintain confidentiality of patient information in accordance with HIPAA standards
Requirements
- Prior experience in a dental or medical office environment is preferred
- Proficiency with dental software and coding is advantageous
- Strong understanding of HIPAA regulations and health information management standards
- Excellent customer service skills with the ability to handle sensitive situations professionally
- Computer literacy including Microsoft Office Suite (Word, Excel), typing skills, and multi-line phone system operation
- Bilingual abilities are a plus for serving diverse patient populations
- Strong organizational skills with attention to detail in documentation review and office management tasks
- Ability to work efficiently in a fast-paced environment while maintaining professionalism
