Under the supervision of the Associate Director, Student Involvement, this position offers a hands‑on opportunity to play a key role in shaping in‑person orientation and other CL&E activities. Throughout the summer, you will help organize, promote, and prepare a range of in-person and remote events, while contributing to early planning for select activities taking place later in the academic year.
You will lead the recruitment, onboarding, training, and support of volunteers who are central to CL&E’s August orientation programming. You will also contribute to on‑site setup and takedown for physically active activities, supporting smooth delivery from start to finish. This on‑site role requires full availability from August 3 to August 28, with some work outside regular office hours.
Working closely with colleagues across Student Services, you will help ensure a seamless and memorable orientation experience. You will also document lessons learned and provide recommendations to help inform and strengthen CL&E programming in the year ahead.
MAJOR DUTIES AND RESPONSIBILITIES
Duties include, but are not limited to, the following:
  • Recruit and onboard orientation volunteers with the dedicated support of the CL&E staff.
  • Finalize training materials for orientation volunteers and ensure clarity on objectives.
  • Establish teams and assign shifts for in-person orientation activities, particularly for the Discover McGill Service Fair.
  • Use MS Shifts to create volunteer schedules and provide necessary materials.
  • Monitor volunteer attendance during events and adjust assignments as needed.
  • Maintain accurate tracking of volunteer hours to ensure recognition.
  • Collaborate with CL&E staff to compile materials for all events, including assembling Frosh fanny packs.
  • Coordinate engaging activities and support sponsorship efforts to enhance orientation.
  • Manage inventory of orientation supplies and facilitate their distribution across campuses.
  • Assist with the distribution of materials such as t-shirts and fanny packs to volunteer leaders and staff.
  • Prepare signage and execute floor plans alongside volunteers and staff.
  • Provide support for AskMcGill during in-person orientation and other welcome events in the first weeks of September.
  • Gather insights and recommendations on work processes and tools to improve operations.
  • Assist the Campus Life & Engagement team as needed to ensure seamless event execution.
EDUCATION & EXPERIENCE
  • Currently registered as a full-time student in any degree program at McGill University
  • Will be a returning full-time student in Fall 2026
  • Work Study qualified, preferred
  • Spoken French, an asset
  • Experience in managing volunteers, an asset
  • Experience with event coordination, outreach, or student engagement, an asset
  • Familiarity with MS Shifts, or other scheduling platforms, an asset

OTHER QUALIFYING SKILLS AND/OR ABILITIES

  • Must be physically capable of lifting and carrying up to 20 pounds
  • Adaptable and flexible to accommodate diverse duties and a variable schedule
  • Highly organized with strong time management skills
  • Excellent oral communication and interpersonal skills
  • Strong problem-solving abilities and to adjust plans quickly
  • Punctual, professional, and committed to excellent customer service
  • Self-motivated, disciplined, and reliable
  • Proficient in Microsoft Suite (Word, Excel, Outlook, PowerPoint)
  • Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level #4 spoken (fluent) and 3 written (advanced) on a scale of 0-4.
