Job Summary
Ontario Flower Growers is seeking a highly organized and dependable Executive Assistant / Administrative Coordinator to support daily operations, executive functions, and finance coordination.
This role supports multiple areas of the business and requires someone comfortable managing a range of tasks while shifting priorities, and working closely with leadership.
Duties
- Manage schedules, calendars, and daily coordination across departments
- Prepare meeting materials, agendas, minutes, and track follow-ups
- Coordinate board-related activities and maintain confidential records
- Assist with accounts payable including invoices, and buyer/grower communication
- Support Finance Controller with journal entries and financial documentation
- Maintain and organize files, records, and internal systems
- Prepare reports, summaries, and internal documentation
- Coordinate internal events, meetings, and operational initiatives
- Act as a central point of contact for internal communication and task tracking
- Monitor deadlines and ensure timely completion of administrative and operational tasks
- Support general office operations and assist with controller and office manager requests
Requirements
- 3+ years in an administrative, executive assistant, or similar role
- Experience supporting finance functions (AP, basic accounting, or bookkeeping)
- Strong organizational and multitasking skills
- High attention to detail and accuracy
- Strong communication skills
- Comfortable handling confidential information
- Able to work in a fast-paced, multi-functional environment
- Able to be adaptive to overall office admin tasks
