The Executive Assistant is a key support role responsible for providing administrative, organizational, and logistical support. This role demands a highly skilled and proactive individual capable of efficiently managing various tasks to ensure the executives' productivity and effectiveness.

The Executive Assistant to the Chief Marketing Officer (CMO) plays a key role in ensuring the smooth functioning of the executive’s agenda and supporting the wider Marketing team when needed. The role combines high-level executive assistance with operational and organizational support, demanding a proactive, detail-oriented, and resourceful professional able to manage priorities in a dynamic, fast-paced environment.

Main Responsibilities, Activities, Duties and Tasks

  • Calendar Management: Precisely and efficiently manage the schedules and appointments, scheduling meetings, conferences, and business travel.
  • Communication: Handle incoming and outgoing communications, including email management, phone calls, and correspondence.
  • Meeting Organization: Arrange and coordinate meetings, conferences, and events, ensuring that all logistical details are meticulously managed.
  • Document Management: Maintain electronic and paper filing of important documents, including reports, presentations, and confidential materials.
  • Business Travel: Plan and coordinate executive business travel, including flights, accommodations, transportation, and other arrangements.
  • Operational Assistance: Provide administrative and operational support, including report preparation, information gathering, and other requested tasks.

Education

  • High school diploma required; a bachelor's degree is a plus
  • Fluent knowledge of the English language is mandatory. Italian will be considered a plus.

Professional Experience, Knowledge & Technical Skills

  • Previous experience as an executive assistant or in a similar role is highly preferred.
  • Excellent organizational and time management skills.
  • Strong proficiency in productivity software, including Microsoft Office (Word, Excel, PowerPoint), and calendar management tools.
  • Exceptional written and verbal communication skills.
  • Ability to work in a dynamic environment and adapt quickly to changes.
  • High attention to detail and the ability to maintain confidentiality.
