Description:
Overview of role:
We are seeking two highly organised and professional Executive Assistants to support our Executive Manager and broader Executive team.

These roles are pivotal in ensuring the smooth coordination of executive operations, maintaining strong stakeholder relationships, and supporting strong governance practices across the organisation.

You will work closely with Executive Managers, the Managing Director’s office, Executive Assistants and senior internal and external stakeholders to ensure seamless coordination of priorities and activities.

Key Responsibilities:
Provide high-level executive support including proactive management of complex calendars, emails, priorities and workflow.
Prepare and coordinate briefings, reports, meeting papers, presentations and correspondence to ensure the Executive Manager is fully informed.
Act as a key point of contact for internal and external stakeholders, managing sensitive and time-critical matters with discretion and professionalism.
Coordinate meetings, forums and events, including agendas, minutes, action tracking, travel arrangements and conference registrations.
Manage financial administration including budget tracking, reconciliations, corporate credit card processing and purchase orders.
Collaborate with other Executive Assistants to ensure alignment, consistency and smooth whole-of-business coordination.
Contribute to continuous improvement, governance and risk management practices while maintaining strict confidentiality and information security standards.

About you:
A trusted and highly organised professional who operates with discretion and confidence in a fast-paced executive environment
Proven experience providing high-level support to senior executives
Outstanding organisational skills with the ability to effectively prioritise competing demands
Excellent written and verbal communication skills
Strong attention to detail and sound judgement
Demonstrated ability to manage sensitive information with professionalism and confidentiality
Advanced proficiency in Microsoft Office and complex calendar management
A proactive mindset with a strong focus on continuous improvement
A relevant tertiary qualification or substantial experience in a comparable executive support role (highly regarded)

Salary:
The salary and conditions for this position will be as per the Coliban Water Enterprise Agreement 2021 Band 3 $74,200 - $90,097 plus super salary range will be offered to the successful candidate commensurate with their skills and experience.
