Job Title: Executive Assistant to the CEO

Location: Bangalore
Reports To: CEO
Department: Executive Office
Job Type: Full-time

Position Summary:

We are seeking an exceptional Executive Assistant (EA) to support our CEO in managing daily activities, strategic initiatives, and ensuring smooth and efficient business operations. This individual will be the right-hand person to the CEO, providing both administrative support and strategic insights, enabling them to focus on high-priority tasks and decision-making.

Key Responsibilities:

  • Calendar & Schedule Management:
  • Manage and prioritize the CEO’s calendar, ensuring alignment with business goals and strategic objectives.
  • Coordinate and schedule meetings, ensuring effective time management.
  • Handle meeting logistics, including agenda preparation, materials, and follow-up on action items.
  • Communication Liaison:
  • Serve as a primary point of contact between the CEO and internal/external stakeholders, including employees, clients, partners, and board members.
  • Manage CEO's correspondence, responding on their behalf when appropriate and ensuring prompt follow-ups.
  • Travel & Event Coordination:
  • Plan and coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Assist with organizing corporate events, conferences, and team-building activities.
  • Confidentiality & Strategic Support:
  • Handle sensitive and confidential information with discretion.
  • Conduct research and provide the CEO with summaries, reports, and briefings to support key decisions.
  • Assist in drafting and reviewing presentations, reports, and business documents.
  • Project Management:
  • Assist the CEO in tracking key projects, ensuring deadlines are met, and facilitating communication between departments.
  • Help prioritize initiatives and tasks, aligning them with business goals and timelines.
  • Meeting & Agenda Preparation:
  • Prepare and maintain accurate records of meetings, including taking minutes and distributing post-meeting summaries.
  • Ensure the CEO is fully prepared for meetings by gathering necessary materials and documents.
  • Ad Hoc Tasks:
  • Provide support with personal tasks when required.
  • Assist in any special projects as needed, supporting cross-functional initiatives.

Key Requirements:

  • Experience:
  • Proven experience as an Executive Assistant or in a similar administrative role, ideally in a fast-paced corporate environment.
  • Experience supporting C-suite executives is highly preferred.
  • Skills & Competencies:
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Exceptional communication skills, both written and verbal, with the ability to interact with stakeholders at all levels.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and familiarity with project management tools.
  • High level of discretion and confidentiality.
  • Strong problem-solving and decision-making abilities.
  • Attention to detail and ability to manage complex tasks.
  • Education:
  • Bachelor’s degree in business administration, communications, or a related field is preferred but not required.
  • Personal Attributes:
  • Proactive and adaptable with a positive attitude.
  • Excellent interpersonal skills and the ability to work collaboratively with internal teams and external clients.
  • Strong initiative, ability to anticipate needs, and a "can-do" approach.

Pay: ₹10,000.00 - ₹68,235.22 per month
