Reporting directly to the CEO, the Executive Officer provides high level executive, administrative and project coordination support to the CEO and the Executive Team. The Executive Officer is the primary contact for the CEO externally, managing the CEO inbox and diary with efficiency and professionalism.

Responsibilities include supporting operational, strategic, and project deliverables, managing time, correspondence and preparing key documents. The EO will lead and contribute to organisational-wide projects and events and contribute to consistent organisational-wide administration practices.

The Executive Officer will provide administrative support for risk and legislative compliance and assist CFO with Secretarial duties for Board and Committee meetings and correspondence.

Act as a primary contact for Executive team internally, and offers advice to proactively problem solve and prioritise, to ensure the best use of their time.
Lead and coordinates projects, including research, as required.
Contribute to effective Executive communication via presentation preparation, assistance with the development of tenders, writing, compiling, and reviewing documents etc.
Act as point of contact for the Office of the CEO, internally and externally.
Provide exceptional meeting and stakeholder support via agendas, minutes, reports, briefing/submission papers, and following up on actions arising.
Provide high-level administration support, to the CEO, via calendar and meeting booking management, correspondence and email management, travel bookings, managing filing systems, expense reconciliation, event organisation etc.
Support the risk and compliance function by helping to prepare reports, monitoring legislative changes and maintaining the legislation compliance register.
Ensure smooth functioning of office by ordering and maintaining adequate kitchen and office supplies.

What we're looking for:
Extensive experience as an Executive Assistant and supporting Executive Teams.
A conceptual thinker with the ability to develop fit for purpose initiatives to support strategic objectives.
Exceptional communication and relationship building skills with able to present in appropriate style for all audiences.
Proven organisational & multitasking skills including the ability to prioritise a range of different tasks and manage competing priorities to meet deadlines.
Demonstrated experience building and maintaining relationships across organisations.
Excellent teamwork skills and the ability to work independently and autonomously.
Ability to collate and interpret data and prepare reports making recommendations.
Demonstrated experience leading or coordinating projects.
Ideally experience with project management systems (e.g. Monday.com).
Ideally experience working within the alcohol and other drug, public health, community, not-for-profit, for-purpose or government sectors.
