We are seeking an experienced, highly organised, and proactive Facilities Supervisor to oversee the maintenance and operational excellence of our client's department store. Based in Dundrum, Dublin, you will be responsible for ensuring that all facilities are safe, functional, clean, and well-maintained, creating a positive and professional environment for both our customers and staff.
The ideal candidate will have a strong background in facilities management, excellent vendor management skills, a solid understanding of health and safety regulations, and the ability to respond effectively to a wide range of maintenance issues. This role is crucial to protecting our assets and supporting our business operations.
Key Responsibilities:
* Oversee the day-to-day maintenance and repair of all retail facilities, including buildings, grounds, and equipment.
* Coordinate with external contractors and service providers for all planned and maintenance (e.g., electrical, plumbing,, fire safety, security systems, cleaning).
* Conduct regular inspections of all sites to identify and address maintenance needs proactively.
* Manage all facilities-related work orders, ensuring they are completed efficiently and to a high standard.
* Respond promptly to emergency maintenance requests and coordinate the necessary response.
* Ensure all facilities are compliant with Irish health and safety regulations, including fire safety, building codes, and workplace safety standards.
* Conduct regular health and safety audits and risk assessments.
* Maintain accurate records of all maintenance work, inspections, and safety documentation.
* Implement and enforce all company policies and procedures related to facilities and safety.
* Oversee waste management and recycling programs.
* Source, vet, and manage relationships with a network of reliable local contractors and service providers in the Dublin area and surrounding regions.
* Negotiate contracts and service level agreements (SLAs) with vendors to ensure cost-effectiveness and quality of service.
* Monitor and control the facilities budget, ensuring all expenditures are approved and tracked accurately.
* Provide regular reports on budget status and key facilities metrics to senior management.
* Assist with store openings, store refits, and ensuring all facilities are ready for operation.
* Act as the primary point of contact for all facilities-related issues for store managers and staff.
*Oversee provision of the security staff and cleaning operatives.
* Managing rosters for the security staff on site.
Experience
* Minimum of 2+years of experience in a facilities management or similar role, preferably within a retail environment.
* Proven experience managing external contractors and vendors.
* Demonstrated experience in budget management and cost control.
Skills
* Strong working knowledge of building systems and maintenance processes (e.g., electrical, plumbing and security).
* Excellent organisational and time-management skills, with the ability to prioritise a heavy workload.
* Outstanding problem-solving abilities and a proactive, "can-do" attitude.
* Strong communication and interpersonal skills, with the ability to build effective relationships with vendors and internal teams.
* Meticulous attention to detail and a commitment to high standards.
* Proficient in Microsoft Office Suite and facilities management software is a plus.
Qualifications (Desirable)
* Relevant certification in Facilities Management, Property Management, or a related field.
* Strong knowledge of Irish Health and Safety legislation.
