Position Overview:
As a Fleet Coordinator at ABC Parts International, Inc., you will be responsible for overseeing the management and maintenance of our fleet of 40-50 company vehicles. Our fleet consists mainly of the following vehicles, Ford Transit, Ram Promaster, Nissan NV 1500, Chevy Express, and 16 foot box trucks. This role ensures the seamless operation of our fleet, coordinating vehicle storage, repairs, preventative maintenance, and compliance with company policies and government regulations. You will work closely with our mechanics, dispatch team, and drivers to ensure the fleet is safe, efficient, and well-maintained. The Fleet Coordinator plays a vital role in minimizing vehicle downtime, reducing costs, and maintaining strong vendor relationships.
Key Responsibilities:
- Coordinate daily activities related to the company’s fleet, including maintenance, repairs, and vehicle assignments.
- Supervise the company mechanic, monitor productivity, and ensure timely completion of service and repairs.
- Utilize fleet management software (Samsara, Fleetio) to track vehicle performance, monitor GPS data, and ensure accurate reporting of fuel usage, idling, and maintenance needs.
- Maintain a detailed inventory of parts and supplies, ordering as needed for both routine maintenance and repairs.
- Collaborate with dispatch supervisors to ensure proper disciplinary action for vehicle infractions, including speeding and idling.
- Manage vendor relationships, negotiate repair costs, and ensure prompt payment for outside service work.
- Ensure vehicles are properly insured, registered, and equipped (straps, GPS devices, etc.) before being assigned to drivers.
- Track and document fleet metrics, including monthly performance reports and idle time, ensuring compliance with internal policies and regulations.
- Schedule and conduct road tests for new or current delivery drivers and arrange vehicle pickups when necessary.
- Oversee pre-trip inspections and coordinate timely service with external repair shops when required.
- Maintain meticulous records of expenses, invoices, and vehicle agreements, collaborating with the accounting department to resolve any financial disputes.
Work Schedule:
- 40 hours per week, Monday to Friday, between 7:30 AM and 5:30 PM.
- Enjoy your weekends and major holidays off!
Qualifications:
- High school diploma or GED required; Associate’s or Bachelor’s degree in a related field is a plus.
- Minimum of 2 years of experience in fleet coordination, logistics, B2B Sales with delivery, or a related field.
- Strong knowledge of automotive parts and vehicle maintenance; experience in the auto parts industry is preferred.
- Proficient with fleet management software such as Samsara, Fleetio, or similar systems.
- Advanced skills in Microsoft Office (Word, Excel, Outlook), with experience creating and managing spreadsheets for tracking vehicle data and expenses.
- Excellent organizational and multitasking skills with a sharp attention to detail.
- Strong problem-solving abilities and a proactive approach to identifying and addressing fleet-related issues.
- Proven ability to thrive in a fast-paced, dynamic environment with frequent interaction and coordination with multiple departments.
- Excellent communication and customer service skills, both written and verbal, with the ability to collaborate with vendors, drivers, and internal teams.
- Clean motor vehicle record and ability to conduct road tests for new drivers.
- Self-motivated, reliable, and able to work independently with minimal supervision.
