Schedule: Monday to Saturday, approx. 1:30 PM – 10:30 PM IST
About the Role
We’re hiring a Founder’s Office Associate to work directly with the Founder & CEO at Mojo Web Technology.
This is a high-ownership role for someone who is organized, proactive, and strong at execution. You’ll help drive day-to-day follow-ups, client communication, proposals, internal coordination, reporting, and founder-priority projects. You’ll work closely with the founder across multiple parts of the business and help ensure that important tasks, commitments, and decisions move forward without delays.
This role is best suited for someone who enjoys solving problems, keeping things organized, following through consistently, and working across teams in a fast-moving environment.
Key ResponsibilitiesFounder Support & Execution
- Track priorities, action items, and ongoing initiatives across the business
- Follow up proactively on pending tasks, decisions, and commitments
- Convert discussions and meetings into clear action items and next steps
- Surface blockers, delays, and issues that need founder attention
- Support founder-priority projects and ensure timely execution
Client Communication & Coordination
- Coordinate with clients on updates, requirements, approvals, and follow-ups
- Maintain professional communication and ensure requests are routed to the right team members
- Support a smooth client experience from onboarding through delivery
- Keep client communication and follow-up records organized
Proposals, Invoices & Revenue Operations
- Prepare proposals, quotations, decks, and business documents using existing templates and workflows
- Review proposals before they are sent out
- Create and send invoices through company systems
- Follow up on quotations, contracts, invoices, and pending payments
- Maintain proposal, sales, and revenue tracking records
Internal Coordination
- Coordinate with developers, product, HR, marketing, and other team members on ongoing priorities
- Track project progress, deliverables, and deadlines
- Help keep information flowing across teams and ensure accountability
- Support interview scheduling, hiring coordination, and internal follow-ups where needed
Meetings, Documentation & Reporting
- Attend internal and client meetings when required
- Take structured meeting notes and maintain documentation
- Create and track action items after meetings
- Prepare summaries, trackers, and reports for founder review
- Maintain dashboards and visibility on ongoing work
Strategic Projects & Process Improvement
- Support founder-led projects, business initiatives, and operational improvements
- Conduct basic market, competitor, client, or operational research when needed
- Help build SOPs, workflows, trackers, and systems to improve efficiency
- Identify recurring gaps or bottlenecks and support resolution
Requirements
- 3+ years of experience in Founder’s Office, Operations, Executive Assistance, Project Coordination, Account Management, Business Operations, or similar roles
- Strong written and verbal English communication
- Excellent organizational skills and attention to detail
- Strong follow-up ability and comfort handling multiple priorities
- Ability to work independently and take ownership without constant supervision
- Professional, reliable, and comfortable working in a fast-moving environment
- Comfortable coordinating with clients and internal teams
- Strong problem-solving mindset and execution focus
Preferred
- Experience in startups, agencies, SaaS companies, or founder-led businesses
- Experience with project/task tools such as Trello, ClickUp, Notion, Asana, Linear, or similar
- Familiarity with Upwork or remote team workflows
- Comfortable using AI tools such as ChatGPT, Claude, or Gemini to improve productivity and documentation
