Position Overview
We are seeking a friendly, highly organized, and tech-savvy Front Desk Receptionist & Customer Service Representative to serve as the first point of contact for our customers, vendors, and visitors. This dual-role position is central to maintaining a professional, welcoming office environment while supporting customer service, administrative operations, and materials yard coordination.
The ideal candidate thrives in a fast-paced setting, excels at multitasking, and brings strong communication skills, a proactive mindset, and confidence using digital tools such as Routeware (CRM) and Samsara GPS.
Key Responsibilities
Customer Service & Front Desk
- Greet and assist all customers, vendors, and visitors with professionalism and courtesy.
- Manage incoming phone calls, voicemails, and emails; ensure timely and accurate responses.
- Troubleshoot and resolve customer issues, including:
- Billing, payments, and auto-pay setup.
- Service changes, start/stop requests, frequency adjustments, and account updates.
- Missed pickups, blocked services, and routing inquiries via GPS tracking tools.
- Explaining policies, procedures, waste ban items, container types, and service options.
- Document interactions, account changes, and feedback in Routeware CRM.
- Escalate unresolved or complex issues to the appropriate department or management.
- Maintain a positive, empathetic, and professional attitude in all customer interactions.
Materials Yard Coordination
- Collaborate with the yard operator to ensure smooth pickups and material handling.
- Process cash/card payments and maintain accurate transaction logs.
- Stay knowledgeable about available products, trucking capabilities, and order scheduling.
Administrative & Office Support
- Maintain a tidy, organized, and welcoming front office space.
- Process mail, packages, and deliveries; distribute appropriately.
- Assist with filing, document preparation, credit card recordkeeping, and general office tasks.
- Monitor and order office supplies (e.g., paper, slip books, forms).
- Support internal communications and staff updates.
- Coordinate small-scale office culture initiatives (events, décor, employee recognition).
- Provide administrative support to management as requested (e.g., scheduling, special projects).
Qualifications
- High school diploma or equivalent required; associate degree or administrative training preferred.
- Candidates with backgrounds in food service (server, bartender, or similar roles) are encouraged to apply.
- 1+ years of experience in customer service, reception, or administrative roles.
- Strong communication, problem-solving, and interpersonal skills with a customer-first mindset.
- Ability to multitask, prioritize, and stay organized in a fast-paced environment.
- Comfortable handling cash/card transactions and maintaining accurate records.
- Tech-savvy, with proficiency in:
- Routeware (CRM)
- Samsara GPS
- Microsoft Office Suite (Word, Excel, Outlook)
- Email and phone systems
- Professional, calm demeanor when handling complaints or escalated issues.
- Proactive, dependable, and team-oriented, with the ability to work independently.
