We are currently seeking a Heat Pump Service Coordinator to support our service department. This is a newly created role and a key position within our operations. The Service Coordinator acts as the central point of contact between customers, service technicians, suppliers, and internal teams to ensure smooth day-to-day service operations.

Requirements and Key Responsibilities

  • Schedule and dispatch technicians for HVAC and heat pump service calls
  • Create, update, and manage work orders and service schedules
  • Answer incoming phone calls and emails, provide service updates, and deliver excellent customer service
  • Prepare quotes, process service invoices, and assist with billing inquiries
  • Process warranty claims with manufacturers and suppliers
  • Order parts and materials and track inventory requirements
  • Perform accurate data entry, manage timecards, and maintain service records
  • Coordinate communication between technicians, management, and other departments
  • Identify scheduling conflicts or service issues and help resolve them efficiently

Skills & Qualifications

  • Strong verbal and written communication skills
  • Excellent organizational skills with strong attention to detail
  • Ability to multitask, prioritize, and remain calm in a fast-paced environment
  • Proficient with computers, scheduling software, and data entry systems
  • Customer-focused, proactive, and solution-oriented
  • Experience in HVAC, trades, construction, or service coordination is an asset but not required

Job Types: Full-time, Permanent

Pay: $18.00-$22.00 per hour

Expected hours: 35 – 45 per week
