Rita Asangarani Law Firm Professional Corporation (Paperless law office) is looking for a full-time Legal Assistant to join their firm. This is your chance to join a fun and progressive team setting digital trends in the profession.

Job Description:

  • Full-time Permanent Position. Regularly scheduled hours will be Monday to Friday, 9am-5pm.
  • Start date immediate or by late November 2025.
  • Hybrid Work Model (three days in office and up to two days working remotely from home).
  • Legal Assistant to Head Lawyer, Receptionist, Training for Real Estate clerking. May have the option to bridge to a Real Estate Clerk if interested.

Responsibilities:

  • Drafting documents, including Affidavits and other forms and correspondence.
  • Accompanying Head lawyer to meetings (in office and out of office) to sign with clients and taking notes.
  • Switchboard management and scheduling appointments.
  • Assisting on Severances and Co-operative Housing matters. No previous experience needed, we are willing to train for Severances and Co-Operative Housing.
  • Data Entry for residential real estate files.
  • Screening and intaking potential clients and gathering basic information.
  • Greeting and seating clients as well as assisting lawyers in ID verification of clients.
  • Communicating by phone and email with clients, courts, and third parties.
  • Preparing boardroom for meetings.
  • Coordinating workflow and assisting head lawyer in prioritizing and following up on outstanding items.
  • Creating and updating document templates and active file lists.
  • Creating and following up on invoices for the Head Lawyer
  • Scanning documents, maintaining digital filing, opening new digital files, and assisting with other administrative tasks as needed.
  • Creating invoices, following up on invoices, and reviewing accounting records.
  • Managing task lists to ensure deadlines are met
  • Other duties as required.

Skills and Qualifications Requirements:

  • 2-year minimum experience with any administrative or receptionist work or being a legal assistant.
  • Experience in Real Estate or Real Estate Law is an asset
  • Strong working knowledge of MS Office suite (Word, Excel, Outlook) is required.
  • Working knowledge of PDFs or PDF editors is recommended.
  • Computer skills are required.
  • Strong verbal and written communication skills
  • Familiarity with Accounting and invoicing software such as Cosmolex or others, is an asset.
  • A willingness to learn and follow specific procedures and instructions.
  • Strong organizational skills are required.
  • Ability to plan, organize and prioritize job tasks to meet tight deadlines.
  • Ability to respond effectively and professionally to changes in schedules and priorities.
  • Ability to manage calendar scheduling for head lawyer.
  • Ability to ensure consistent attention to detail.
  • Ability to work independently within a team environment.
  • Ability to exercise discretion when dealing with sensitive information.
  • A positive, supportive, and professional attitude.
  • Ability to speak other languages is an asset.
  • Access to a car is an asset.

Benefits/Salary:

  • Competitive Health and Dental benefits will be provided after 3 months’ probation.
  • 2 weeks of vacation and an additional week given from Christmas Eve to New Years Day.
  • 12 days of personal/sick time a year (3 days during probation)
  • 1 additional mental health day a year.
  • Salary will be based on experience with a probation period salary of $21.50/hour (based on a 37.5 hour work week) and a post-probation salary of $43,000.00 to $48,000.00 with a year end bonus depending on performance.
