Position Purpose: Under general supervision, the Administrative Assistant provides essential administrative and clerical support to ensure smooth office operations. This role assists with a variety of tasks, including document preparation, correspondence handling, file management, and communication coordination. The Administrative Assistant contributes to workflow efficiency by performing routine administrative duties with accuracy and attention to detail.

Responsibilities/Duties/Functions/Tasks:

  • Perform routine administrative tasks (mail sorting, photocopying, faxing, data entry).
  • Screen and route incoming/outgoing calls, emails, and mail to appropriate parties.
  • Monitor and maintain office supplies and equipment.
  • Transcribe and type documents and correspondence from dictation or drafts.
  • Draft, proofread, and format documents and correspondence.
  • Maintain and organize physical and electronic files, ensuring proper documentation and storage.
  • Assist with scheduling, calendar management, and meeting coordination.
  • Serve as a liaison between internal staff and external contacts.
  • Compile and organize data for reports or presentations.
  • Assist with basic information gathering as needed.
  • Process payments or invoices when required.
  • Stay updated on office procedures and software tools.
  • Complete all required training applicable to this position
  • Regular and predictable attendance is an essential function of this position
  • Other duties, as assigned

Minimum Qualifications:

  • High school diploma or general education degree (GED) is required; an Associate’s degree is preferred.
  • 4 years of relevant office experience or an equivalent combination of education, training, and experience is required.
  • Professional demeanor with clients and co-workers.
  • Organized and detail oriented to meet deadlines.
  • Excellent oral and written communication skills.
  • Must possess excellent computer skills using Microsoft Office products.
  • Must be able to type 45+ wpm with accuracy.

Compensation and Benefits:

  • The expected pay range for this position is $20.24-$24.62/hour

Occasional standing, walking, bending, and lifting of items weighing up to 15 pounds may be required. Close visual acuity is needed to read, analyze data, and view a computer terminal for extended periods.

Work Environment:

This position operates in a professional office environment. It is representative of those an employee encounters while performing the essential functions of this job. The employee will experience low to moderate noise levels and moderate interruptions. The workspace is well-lit and climate controlled.
