Halco Portables is a leading Canadian-owned provider of portable sanitation solutions, specializing in the manufacturing and rental of portable restrooms, handwashing stations, and luxury mobile washrooms. We are seeking a detail-oriented and professional Office Administrator to join our team in Welland, ON. This role is essential to maintaining our daily operations and providing exceptional service to our construction and special event clientele.

Job Summary

The Office Administrator serves as the first point of contact for our customers and is responsible for ensuring the smooth administrative flow of the office. Your primary focus will be managing customer invoicing, handling reception duties, and providing general administrative support to the management team.

Primary Responsibilities

Customer Invoicing & Billing: Process daily customer invoices accurately, manage accounts receivable, and update financial records using company systems.

Reception & Communication: Answer incoming calls from customers, suppliers, and contractors; manage inquiries professionally and route them to the appropriate departments.

Order & Rental Management: Prepare quotes and rental contracts, and input data into the company routing system to ensure timely delivery and service.

Administrative Support: Maintain and update spreadsheets (Google Sheets) on the shared drive, manage filing systems, and assist with preparing reports.

Office Maintenance: Manage incoming/outgoing mail, and ensure the reception area is clean and welcoming.

Qualifications & Skills

Education: High School Diploma required; a college diploma in Business Administration or a related field is preferred.

Experience: Minimum of 5 years in an office administration or customer service role, preferably within the construction or waste management industry.

Technical Proficiency: Strong skills in Google Workspace (Sheets, Docs, Drive) and Office Suite.

Attention to Detail: Proven ability to complete financial tasks and data entry with a high degree of accuracy.

Communication: Excellent verbal and written communication skills with a professional telephone manner.

Adaptability: Ability to thrive in a fast-paced environment and manage multiple priorities independently.

Job Types: Full-time, Permanent

Pay: From $20.00 per hour

Expected hours: 40 per week
