Job Summary:
We are currently seeking a well experienced and proactive Operations Executive to join our dynamic team. This role will be responsible for overseeing the full shipping operation, ensuring smooth documentation, monitoring shipment status, and liaising with various stakeholders including ship owners, shipping agents, suppliers, and traders. If you have at least 4 years of experience in shipping or logistics operations, and are ready to take your career to the next level with a global organization, we want to hear from you!
Key Responsibilities:
- Handle and manage full shipping operations, ensuring smooth coordination between various stakeholders.
- Prepare and verify shipping documentation, ensuring compliance with regulations and accuracy.
- Follow up on ongoing shipments, keeping track of the shipment status and ensuring all documentation is up-to-date.
- Maintain consistent communication with ship owners, shippers, and receivers to ensure efficient flow of information and documentation.
- Liaise with shipping agents at load ports and discharge ports to ensure that operations proceed smoothly.
- Collaborate closely with traders for shipment planning and execution.
- Monitor Estimated Time of Departure (ETD) and Estimated Time of Arrival (ETA), ensuring that schedules are met.
- Coordinate with suppliers and shipping agents to ensure timely receipt and accuracy of shipping documents.
- Address discrepancies and amendments during the draft documentation phase, ensuring final documentation is accurate and complete.
- Liaise with port agents to ensure smooth clearance of goods.
- Perform clerical and data entry tasks to maintain accurate records of all shipments.
- Undertake additional functions and responsibilities as mandated by management.
Job Requirements:
- Minimum of 4 years relevant experience in shipping or logistics operations.
- Strong knowledge of shipping documentation, shipping operations, and related procedures.
- Excellent communication skills, with the ability to work effectively with both internal and external stakeholders.
- Detail-oriented with a focus on accuracy and process compliance.
- Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously.
- Proficiency in using office software, data entry systems, and shipping platforms.
- Ability to work independently and as part of a team in a fast-paced environment.
- A proactive attitude with problem-solving capabilities.
