ESSENTIAL DUTIES
(Includes the following. Other duties may be assigned.)
- Answers all incoming phone calls in a prompt, polite, professional manner while following the processes and procedures set out in the DFC Auto Group, Inc. Standards.
- Directs caller to appropriate department or individual or takes a thorough message.
- Takes detailed messages when calls cannot be completed including caller’s name, telephone number, time of call and information requested.
- Communicates messages to the appropriate parties in a timely manner.
- Greets customers and directs to the appropriate person/department.
- Processes licensing documents as required.
- Stocks in all used vehicles, assigns stock numbers, updates register, creates dockets and posts into 180 and CDK as directed.
- Receives monies from the sales department, processes a receipt, which includes creating deal numbers and customer numbers when necessary, and gives to the accounting department.
- Maintains a professional appearance, and a neat work and waiting area.
MARGINAL DUTIES
(Includes the following. Other duties may be assigned.)
- Develops knowledge of basic dealership information in order to respond to callers who have general inquiries.
- Updates & distributes dealership phone directory as needed.
- Maintains supplies for fax/copy machine, checks for and distributes faxes to appropriate personnel.
- Assists with clerical duties as requested.

EDUCATION / EXPERIENCE
High School Diploma or equivalent and a minimum of 1 year switchboard experience. Some basic accounting knowledge would be beneficial.
LANGUAGE SKILLS
Fluency in English, Mandarin, and Cantonese is required. Excellent communication skills and phone manner. Ability to respond to common inquiries or complaints from customers and to read and interpret documents such as manufacturer forms and dealership procedure manuals Ability to write routine reports and correspondence.
