Patient Access Team Lead

- Monitor and manage patient flow of the department ensuring that the patient has the highest priority at all times and receives prompt, personalise service and attention
- Communicate directly with Consultant Secretaries daily to maintain patient flow
- Liaising with the Clinical Leads and Bed Manager as appropriate
- Input patient bookings on PiMS system in advance of arrival
- To provide timely and accurate information to relevant hospital personnel and clinicians in order to facilitate the treatment of patients in an appropriate timeframe.
- Verify insurance details of all bookings and advise patients re shortfall
- To train staff in office procedures as required.
- Promote improved communication between clinical and clerical / administration staff to maintain patient flow
- Manage patient’s arrival within the department for relevant area assigned to ensure patients are not waiting/delayed.
- The ability to manage within allocated resources and a capacity to respond to changes in a plan remaining resilient, calm and professional under pressure.
- Ensure the line management is kept informed of any issues arising on a day to day basis. Act on feedback from service users/customers and report same to supervisor.
- Competent in the use of RIS, PACS, Claimsure, iPIMs, and an understanding of department processes to ensure work is completed to a high standard.
- Strong teamwork skills including the ability to build and maintain relationships with wide range of internal and external stakeholders.
- The ability to analyse and interpret information, develop solutions and contribute to decisions quickly and accurately as appropriate.
- Flexibility, problem solving and initiative skills including the ability to adapt to change and be solution focused.
- To liaise with other departments, G.Ps, consultants, secretaries and colleagues to ensure effective patient management for the area assigned to.
- Deal with all telephone/ Email/Fax queries or other requests in a timely manner for relevant area assigned to.
- Exceptional levels of accuracy with the ability to take personal responsibility for ensuring standards are met.
- Ability to prioritize work and effectively handle multiple tasks and see these through to completion.
- Provide cover for staff absences in all areas of the services administration.
- To maintain confidentiality in accordance with Hospital and Department policy.
- To maintain a professional approach in all interactions.
- To undertake any other duties that may reasonably be required.
- To implement quality standards ensuring that a quality service is provided at all times.
- To comply with Health & Safety Regulations ensuring safe working practices and a safe working environment.
- Flexibility on operating hours
- Supervise duties when requested
- Deputise for Patient Access Supervisor when requested
- To implement and produce realistic and achievable targets, including timely registration of patients, cash collections, accurate and complete registration of data on PIMS.
- To provide management information and reports as required
- To develop effective and robust collaborative/team working relationships with other departments
- To promote and participate in the implementation of change
- To support the Patient Access Site Lead plan,
- organise and implement the daily flow of work in the Department ensuring the delivery of an effective service
- To liaise with the Patient Access Supervisor, and staff in other areas to ensure priority areas are identified and deadlines are met.
- To orientate and supervise assigned staff and plan/delegate their workload in accordance with the needs of the Department and their job descriptions
- To motivate and develop assigned staff and identify training and development needs as appropriate
- To assist the Patient Access Supervisor in formulating and implementing all new initiatives
- Ensure lists are checked and correct daily
- Ensure all charts for re-admit patients are available prior to patient admission
- Work with the Team on all aspects of patient’s bookings within the admission department
- Co-ordinate staff rosters
- Carry out performance reviews with Grade III’s when required
- Ensure team members are compliant with Mandatory Training
- Achieved Leaving Certificate or equivalent.
- FETAC medical administration related qualification or equivalent.
- Minimum 2 years secretarial/administrative experience.
- Experience working in a fast paced rapidly changing environment.
- Previous experience in a similar role in a Healthcare setting desirable.
- Supervisory Experience
- Strong administration background.
- Excellent interpersonal skills and ability to communicate successfully and sensitively with patients, public, staff and management including the ability to present information in a clear and concise manner.
- Good oral and written communication skills.
- Exceptional level of accuracy and attention to detail.
- Excellent organisation skills to ensure work is completed to a high standard.
- Flexibility, problem solving and initiative skills including the ability to adapt to change and be solution focused.
- Ability to prioritize work and effectively handle multiple tasks.
- Experience of leading staff through change.
- Competent in the use of Hospital IT Systems and department processes.
