Project Manager / Preconstruction Coordinator - Office based role

Kavaleer Renovations is a Calgary-based residential renovation company focused on well-planned, professionally managed renovation projects.
We are looking for a highly organized Project Manager / Preconstruction Coordinator to join our team. This is an office-based role responsible for planning, scheduling, documentation, procurement coordination, and preconstruction planning.
This role plays a critical part in ensuring projects run smoothly before and during construction by coordinating trades, managing client communication, and preparing projects so the field team can focus on execution and quality.
This position is being created to cover a maternity leave but is expected to evolve into a long-term role within the company. As our workload grows, this role will likely split into two positions: Project Manager and Preconstruction Manager, and we intend to retain the right person as part of our long-term team.
What This Role Is Responsible For
Project Planning & Scheduling
- Build and maintain production schedules for active renovation projects
- Coordinate trade partners and sequencing of work
- Maintain rolling 2–6 week lookahead schedules
- Identify schedule risks early and adjust plans accordingly
- Communicate schedule updates clearly to the field team and clients
Client Coordination
- Serve as the primary contact for clients regarding:
- schedule updates
- decision deadlines
- change orders
- project updates
- Track selections and client decisions to ensure deadlines are met
- Help keep projects moving by ensuring required decisions are made on time
Procurement & Material Coordination
- Confirm material specifications, quantities, and ordering requirements
- Coordinate with suppliers and vendors regarding lead times and deliveries
- Ensure materials arrive on site in the correct sequence to avoid delays
Documentation & Change Orders
- Maintain current drawings, specifications, and project documentation
- Coordinate pricing and documentation for change orders
- Ensure all revisions and scope updates are properly tracked and communicated
Preconstruction & Estimating Support
- Assist with estimating and project costing
- Coordinate pricing inputs from suppliers and trade partners
- Help prepare project documentation during the planning phase
- Support internal planning and handoff meetings before construction begins
Financial & Invoice Coordination
- Review trade and supplier invoices
- Confirm invoices align with approved scope, budget, and purchase orders
- Ensure job cost records are organized and accurate
What This Role Is Not
This is not a site supervisor role. The position is office-based and focused on planning and coordination.
This role does not direct trades onsite or make workmanship decisions. The field team handles construction execution and quality control.

- Materials are ordered and ready before work begins
- Clients make required decisions before deadlines
- Change orders are documented clearly and processed quickly
- Projects move forward with fewer surprises and fewer delays
Who We Are Looking For
You are someone who enjoys bringing order to complex projects and keeping many moving parts aligned.
You likely have experience in:
- residential construction
- renovation project coordination
- estimating or preconstruction
- project scheduling
- construction administration
Strong organizational and communication skills are essential.
Qualifications
- Experience in residential construction, renovation, project coordination, or estimating
- Strong organizational and scheduling skills
- Ability to communicate clearly with clients, trades, and suppliers
- Comfortable working with project documentation, spreadsheets, and scheduling tools
- Ability to manage multiple projects and priorities simultaneously
Compensation
- Salary: $70,000 – $90,000 per year depending on experience
- Full-time, salaried position
- Benefits package available
Work Location
Office-based role in Calgary, Alberta, with occasional site visits as required.
