Our team includes Producers, Account Managers, Directors, Editors, Animators, Designers, Strategists, and Project Managers; but at the core, we’re all storytellers and collaborators.
We’re currently looking for a full-time Project Coordinator to join our growing team.
About the Role
As a Project Coordinator, you’ll play a key role in helping creative projects move smoothly from kickoff to delivery. Working closely with our Project Management, Production, Creative, and Account teams, you’ll help coordinate timelines, schedules, resources, communications, and deliverables across a wide range of projects.

This position is based in Waterloo, Ontario, with occasional travel as required depending on production schedules and project needs.
What You’ll Do
- Support Project Managers, Producers, and Account Managers with the coordination of creative and production projects
- Assist in building and maintaining project schedules, timelines, budgets, and documentation
- Help monitor project progress and proactively flag risks, challenges, or scheduling conflicts
- Coordinate internal communications between creative, production, and client-facing teams
- Ensure project files, notes, and deliverables remain organized and up to date
- Support resource scheduling and workflow coordination across departments
- Help manage project changes, revisions, and evolving priorities
- Track deadlines and assist teams in delivering projects on time and on budget
- Contribute to maintaining Memory Tree’s creative quality and production standards
- Participate in project meetings, production planning, and internal reviews
What We’re Looking For
You are organized, proactive, collaborative, and eager to learn. You enjoy bringing structure to fast-moving projects.
Qualifications & Experience
- 1+ years of experience in project coordination, production coordination, marketing coordination, or a related role
- Experience working within a creative agency, production company, marketing team, or similar environment is considered a strong asset
- Understanding of project management workflows, scheduling, and budgeting
- Strong organizational and time management skills
- Ability to manage multiple projects and shifting priorities simultaneously
- Excellent attention to detail and follow-through
- Strong written and verbal communication skills
- Collaborative mindset with strong interpersonal skills
- Comfortable receiving and implementing feedback
- Ability to work under tight deadlines in a fast-paced environment
- Proficiency with Google Workspace, Microsoft Office, and project management tools
- Familiarity with creative production workflows is an asset
- Familiarity with CRMs such as SalesForce is an asset
- Valid Ontario Class G driver’s license and access to transportation
Bonus Skills (Nice to Have)
- Experience with tools such as Jira, ClickUp, Frame.io, Wipster, Figma, or Adobe Creative Cloud
- Bilingualism (French/English)
- Experience supporting video, animation, photography, or digital marketing projects
