Location: The Woodlands, TX
Amount of Travel Required: 15-25%
Work Schedule: Monday – Friday, 8 a.m. – 5 p.m.

POSITION SUMMARY:
The Project Coordinator for Accelerated Mobile Power (AMP) serves as the central coordination point between Field Operations, Procurement, Accounts Payable (AP), and Accounts Receivable (AR) for all AMP projects. The role acts as a single point of contact for purchase orders, vendor coordination, invoice tracking, and rebill management to streamline administrative workflows and improve financial visibility.

ESSENTIAL FUNCTIONS: (The following duties and responsibilities are all essential job functions, as defined by the ADA, except for those that begin with the word "may")
  • Serves as the primary interface between Field Supervisors, Managers, and Procurement for all PO requests.
  • Ensures all PO requests are complete and accurate.
  • Tracks PO lifecycle from request through issuance.
  • Maintains visibility on open requests and follows up with Procurement.
  • Supports compliance with procurement KPIs.
  • Acts as the central point of contact for AP related to vendor invoices.
  • Tracks invoices against POs and ensures proper coding and approval.
  • Resolves discrepancies between invoices and POs.
  • Ensures timely invoice processing.
  • Serves as the primary liaison for AR on rebillable expenses.
  • Tracks and validates rebillable costs.
  • Maintains a rebill log to ensure proper billing to clients.
  • Provides administrative support to Field Supervisors during mobilization and demobilization coordination.
  • Assists with vendor management and supports cost tracking and budget visibility.
  • Maintains trackers for PO status, invoices, and rebills and provides reporting to leadership.
  • Identifies inefficiencies and improves processes.
  • Performs other related duties as assigned to assist with successful operations and business continuity.
POSITION REQUIREMENTS
  • Must be legally authorized to work in the United States without the need for sponsorship.
  • Must be at least 18 years of age or older.
  • Successfully passes all applicable general pre employment testing including but not limited to: background check, pre employment drug screening, pre employment fit tests, pre employment aptitude and/or competency assessment(s).
  • Proficiency in spoken English language
  • U.S. Driver’s License required. Employment is contingent upon meeting company driving standards, including an acceptable Motor Vehicle Record (MVR) in accordance with Company policy.

EDUCATION/EXPERIENCE LEVEL
Required:
  • High school diploma or GED required.
  • Project Management Professional (PMP) Certification or a Bachelor’s Degree in a related field preferred.
  • Minimum of three (3) years of experience in project coordination or a related administrative operations role.
  • Demonstrated understanding of procurement, Accounts Payable (AP), and Accounts Receivable (AR) workflows.
  • Prior experience utilizing ERP or CMMS systems required.

QUALIFICATIONS, SKILLS, COMPETENCIES, AND ABILITIES
  • Advanced skills in Microsoft Excel and data reporting to maintain accurate trackers and visibility.
  • Exceptional organizational skills with the ability to maintain accuracy in PO coding, invoice tracking, and rebill validation.
  • Strong interpersonal skills to act as a central liaison between field teams, vendors, and corporate departments.
  • Ability to identify discrepancies in financial documentation and implement process improvements to resolve inefficiencies.
  • Proven ability to manage a high volume of administrative requests while meeting established KPIs and deadlines.

Employee works indoors in an office setting, primarily sitting for extended periods at a desk station. The role requires keyboarding and repetitive motions with wrists, hands, and fingers. Vision abilities required include close vision and the ability to adjust focus while reading and staring at a computer monitor. The Employee must speak clearly and audibly, and have the ability to hear, understand, and distinguish speech and other sounds (e.g., building alarms) from in person speech, telephone, or remote communication. While in the office, the Employee may be called upon to stand, kneel, push, pull, reach overhead, stoop, crouch, climb, and lift; therefore, the Employee should be able to independently lift 25 lbs.
Work hours may include or includes early morning, late evenings, and weekends, depending on business necessity.
