Our Property division (Direct Property Management (DPM)) manages a varied commercial and industrial property portfolio across Group-owned assets. DPM is a small, experienced team that works closely with senior leadership in a professional, trusted environment where accuracy, accountability and ownership are highly valued.
The Opportunity
Due to an internal promotion, we are seeking an experienced Commercial Property & Leasing Administrator to support and coordinate leasing administration and property financial processes across our commercial portfolio.
This is a standalone administrative role working closely with the Senior Property & Maintenance Manager and the CEO, responsible for ensuring that property and leasing documentation, data, and invoicing are accurate, compliant, and up-to-date.
The role suits someone who can work confidently and autonomously with structured processes within clear parameters, and be relied upon for accuracy and follow-through.
What You’ll Be Responsible For
In this role, you will coordinate and administer key property and leasing functions, including:
- End-to-end leasing administration across commercial properties and selected Woolcock-owned residential assets
- Preparation and coordination of lease documentation, variations, extensions and agreements in conjunction with the CEO
- Maintenance of accurate lease and property data within Progenesis and MYOB
- Administration of tenant outgoings, arrears monitoring and monthly invoicing (including CPI and fixed increases as directed)
- Liaison with tenants, solicitors, valuers and internal stakeholders on leasing and administrative matters
- Supporting leasing reports, reconciliations and property documentation management

About You
You are an organised and dependable administrator who takes pride in delivering accurate work and seeing tasks through to completion.
You bring:
- A professional, proactive approach and strong work ethic
- Solid administrative skills and the ability to manage multiple priorities
- High attention to detail and accuracy, particularly with documentation and data
- Clear written and verbal communication skills
- The ability to work independently while taking direction from senior stakeholders
- Sound judgment, discretion and respect for confidentiality
Skills & Experience
- 3+ years’ experience in commercial property or leasing administration
- Strong general administration and document management skills
- Proficiency in Microsoft Office (Outlook, Word and Excel)
- Experience with property management systems such as Progenesis (or similar); MYOB desirable
- Strong numeracy skills to support CPI adjustments and outgoings administration
- A Certificate or Diploma in Property and a Property Licence are advantageous but not essential
