Quality focused HR Coordinator

The Role
You will join the HR team in Copenhagen, which supports the entire employee lifecycle at Xellia—from recruitment to offboarding—including contracts, payroll, compensation and benefits, global mobility, leave, and more.
We manage HR and payroll tasks for our Danish and Norwegian organizations and support our international colleagues across the globe. As we are a small team, collaboration and flexibility are key, and every contribution matters.
Your primary responsibilities may include:
- Daily HR administration, including preparation of employment contracts, addendums, and other employment documentation, as well as ensuring timely updates of payroll-related data
- Supporting leaders in recruitment activities, including coordination, test feedback, and candidate evaluation
- Creating, updating, and offboarding employees in HR, payroll, and time/leave management systems
- Supporting mobility, immigration, and relocation processes to and from Denmark
- Responding to inquiries from managers and employees
- Providing HR- and payroll-related data to internal stakeholders and external authorities
- Supporting annual HR processes such as bonus cycles, salary reviews, and negotiations for employees covered by collective agreements
- Managing electronic archiving and ensuring compliance with approval workflows and potential audits
- Updating HR policies and internal standard documents
- Facilitating knowledge sharing and updates for leaders of Danish employees
- Coordinating and facilitating introduction days for new employees
- Handling various ad hoc HR-related tasks
You will receive a thorough onboarding program and work closely with your future colleagues, gaining insight into relevant legislation, internal policies, and HR processes.
Our Department
HR & Payroll in Copenhagen consists of four colleagues working in an informal and international environment with extensive interaction across the organization. We are busy, but we take the time to think things through and focus on finding the right solutions.
Globally, our HR organization consists of approximately 18 colleagues across our Danish and international entities.
Your Profile
You have an administrative background and may have experience from a similar organization working with HR and/or payroll. You:
- Are structured and detail-oriented
- Are comfortable working with IT systems and paperless workflows
- Can manage multiple tasks while maintaining a high level of quality
- Thrive in a fast-paced environment and enjoy improving processes
- Communicate clearly in both Danish and English, verbally and in writing
- Take ownership and ensure tasks are followed through to completion
- Work independently while valuing collaboration and maintaining a positive, professional attitude
