And new ways to think about health. We are looking for an organized and proactive individual to take on the role of Receptionist – Administrative Assistant in Munich. As a key member of our team, you will play a vital role in ensuring smooth office operations while supporting the German Management Team and Office Manager. This is an exciting opportunity to contribute to a positive work environment and help drive efficiency across the organization. If you're passionate about administrative excellence and enjoy working in a dynamic setting, this role is for you. This is a temporary position for 12 months.

A Typical Day may include:

  • Answer and manage the main reception phone, redirecting calls or taking messages for team members.

  • Coordinate office operations by greeting visitors, activating badges, and directing candidates and vendors.

  • Arrange national and international travel for new hires, visiting employees, or other team members, ensuring all travel logistics are handled efficiently.

  • Create and maintain expense reports using Concur and Talent Hub, ensuring accuracy and compliance.

  • Attend meetings, document minutes, and distribute them to relevant parties.

  • Manage office supplies and kitchen inventory, ensuring availability and organization.

  • Perform general administrative duties, such as handling invoices, sending packages, and maintaining organized files.

  • Support event organization and facility management, coordinating repairs and checks with the facility manager.

  • Contribute to team efforts by fostering a positive and efficient working environment.

To Be Considered:

Applicants might have minimum of two years of experience in an office setting. Good proficiency in computer systems, including MS Teams, iPhone, and Microsoft Office tools. Strong interpersonal skills with the ability to build rapport across different functions and levels. Fluency in German and English, with excellent written and oral communication skills. Preferred qualifications include prior experience as a receptionist or administrative office support and familiarity with expense management systems such as Concur.
