To drive and develop The Libraries and hotel conference and events offerings through innovative sales and event planning. This role oversees the entire sales cycle, from generating and converting leads to coordinating successful events, invoicing, and securing repeat business. Responsible for maximising revenue, handling customer enquiries efficiently, and building strong client relationships, the role ensures seamless event execution. Additionally, it involves forecasting, budgeting, and reporting in collaboration with the Business Development Manager while maintaining a professional and personable approach in all communications.
Sales & Revenue Management
- Manage quoting and negotiation of conference group rates within the hotel’s pricing framework.
- Take ownership of larger, more complex residential business and high-value functions.
- Forecast, budget, and report on MICE revenue in collaboration with the Business Development Manager.
- Maintain accurate records in Salesforce, ensuring timely follow-ups and up-to-date availability.
- Leverage CRM (Salesforce) and event management tools to optimise the sales process.
- Lead new, reactive, and BBOB (Bring Back Old Business) strategies to drive revenue growth.
- Maintain strong partnerships with industry bodies such as ACB and BEIA.
- Develop strategies for managing high-profile clients, including those from entertainment, sports, and government sectors.
Event Planning & Coordination
- Ensure seamless coordination between departments for efficient event execution.
- Customise event experiences in collaboration with clients, incorporating sustainability initiatives.
- Respond to event enquiries within 24 hours, ensuring accuracy in pricing, availability, and requirements.
- Oversee event administration, including BEOs, proposals, seating plans, signage, invoicing, and payments.
- Liaise with external suppliers for smooth pack-in and pack-out procedures.
- Collaborate with the Food & Beverage and Operations teams to ensure events exceed client expectations.
Client Engagement & Business Development
- Build and maintain relationships with both new inbound leads and repeat MICE clients.
- Support sales efforts during site inspections and client familiarisation visits.
- Work with marketing to create sales-driven MICE promotions.
- Maximise revenue opportunities through regular engagement with clients via calls, emails, and site visits.
Post-Event & Continuous Improvement
- Conduct client debriefs, track event performance, and analyse feedback to enhance future offerings.
- Identify upselling opportunities for additional services such as premium F&B packages and accommodation.
- Ensure compliance with financial standards, policies, and procedures.
General Responsibilities
- Maintain up-to-date client files, including contracts and event orders, to improve forecasting and communication.
- Liaise with the Reservations team on availability and room rates. Ensure compliance with health and safety regulations, including risk assessments and emergency procedures.
- Attend internal team meetings and maintain clear communication across departments.
- Support other departments as needed and perform any additional duties assigned by management.
- Integrate The Hotel Britomart’s sustainability initiatives into event planning and execution.
- Perform any other reasonable tasks as directed by the Business Development Manager, Head of Sales, or GM/Operations Manager.
Prerequisites
- Experience using Sales Force CRM Sales and Catering as a tool to manage client quoting, proposals, contracts and event execution.
- Solid organisational skills - eye for detail coupled with a strong ability to proactively identify priorities and manage multiple tasks, and successfully accomplish objectives in a busy and challenging workplace.
- Demonstrated ability to work independently and as part of a team.
- Demonstrated knowledge of Microsoft Office programs (Word, Excel, PowerPoint).
- Flexibility and availability to work weekdays or weekends.
Experience
- Minimum 2 years’ experience in a similar position.
Education
- A diploma in Hospitality Management or a similar field preferred.
- Additionally, a Bachelor's degree is advantageous.
Job Type: Full-time
Pay: Up to $70,000.00 per year
