Oracle Group Realty is seeking a Junior Site Admin. The role requires the employee to work Saturday, Sunday and Monday at the Water’s Edge sales office located at 2169 Lakeshore Blvd W. Hours are Sat-Sun 11:45am-5:15pm and Monday 11:45am-6:15pm.
Key Responsibilities:
- Reviews all sales documents throughout the sales cycle and coordinating execution of agreements and creation of all sales related templates.
- Prepare offers, including Agreement of Purchase & Sale, amendments, commission letters, etc.
- Maintain accurate sales files and copies pertaining to each transaction electronic and physical.
- Coordinating with the developer as required to fulfil any requests they may have for the site.
- Write up of offer Agreements using sales management software that the client uses.
- Assisting with the collection of deposit cheques from purchasers/agents.
- Photocopying/filing documentation for sales.
- Create and update records and databases of client/agent information.
- Work collaboratively with the on-site staff and other team members to ensure seamless administration.
- Assist with the ordering of office supplies.
- Ensure operation of equipment by completing preventative requirements ie, calling for repairs.
- Calling of brokerages to follow up on recent email campaign, come to sales office/event
- Prepare and maintain accurate documentation related to project progress, client interactions, and administrative activities
- All rules and/or requirements set out in the Trust in Real Estate Services Act, 2002 and its regulations, as amended.
- Participate in and support various sales and marketing initiatives (including but not limited to special events, broker events, developer events or other project events) on behalf of the brokerage from time to time (including times that that may fall outside regular business hours).
- Any other task or responsibility that may arise and which is related to the Site Administrator's job and reasonably required by the VP of Operations, Director of Sales & Marketing or the President.
Qualifications:
- Education: High-School Diploma minimum
- Experience: 0-2 years
- Languages: Fluent in English spoken/written. Additional language fluency is bonus, but not necessary
Skills:
- Strong organizational skills and task-oriented focus
- High level of Attention to detail
- Customer Service mind-set; there will be interactions with customers and members of the public
- Strong and professional written and spoken communication
- Moderate technical / computer & software utilization is required – be familiar with basic Microsoft Office Suite of applications and a quick study on browser-based applications and tools (DocuSign, MLS/Realtor.ca, Avesdo experience is a bonus)
- Punctuality is a must, sales office must be opened on time and it is the admin’s job to ensure the opening.
- Strong learner and a willingness to be coached and expand skills and knowledge
