The Team You’ll Work With:
The Office of the Chief Counsel to the Mayor and City Hall provides legal and strategic guidance to the Mayor and senior policymakers in City Hall on a broad range of matters, including policy, planning, litigation, legislation, compliance, ethics, and transparency. Alongside several other initiatives and functions, the Chief Counsel to the Mayor also supervises and coordinates the Office of Administrative Trials and Hearings (including the Environmental Control Board), the Mayor’s Office of Risk Management and Compliance, and the Mayor’s Advisory Committee on the Judiciary, in addition to liaising with and reviewing the activities of the Conflicts of Interest Board.
The Problems You’ll Solve:
The Special Assistant to the Chief Counsel will be the primary point of contact for the Chief Counsel’s daily schedule and will be responsible for coordinating and confirming all logistical details and necessary preparation and materials for the Chief Counsel’s meetings. With both care and discretion, the Special Assistant will also help to vet and properly route incoming requests from within City Hall and city agencies, constituents, city partners, and outside stakeholders. Other administrative duties include maintenance of contact lists, travel arrangements, preparing correspondence, and basic office management and coordination. The Special Assistant will also assist the Chief Counsel in select meetings and will support the team on discrete special projects as well as the longer-term work of the office.
Responsibilities include:
- Execute and oversee daily administrative activities of the Office of the Chief Counsel, including:
o Generating policy briefings and project-related documents, such as meeting agendas, meeting minutes, work plans, and progress reports.
o Overseeing day-to-day office operations, such as managing electronic correspondence directed to the Chief Counsel and the office, as well as preparing draft replies to correspondence and organizing and prioritizing all electronic and regular mail correspondence.
o Coordinating the Chief Counsel’s speaking engagements and public appearances, including preparation of briefing materials, talking points, and presentations.
- Support the Chief of Staff in collecting and assembling the contents of the Chief Counsel’s nightly briefing books - briefings, memos, clips, quotes for approval, correspondence - in hard copy and/or e-copy, in coordination with team members and other departments.
- Provide leverage in moving critical projects forward by assisting with information gathering, communicating with stakeholders and other agencies, as well as the Mayor’s Offices, developing and monitoring project plans, and keeping track of responsibilities.
- Serve as constituent liaison when necessary, working with senior Administration staff to respond to questions.
- Work to identify opportunities to create processes and systems to improve office efficiencies.
- Opportunities to assist attorneys on:
o Project Support: Providing support to the attorneys in the Office of the Chief Counsel, including various forms of research, legislative analysis, developing and summarizing factual information for legal analysis, and drafting written work product for attorney review.
- Perform other related duties and tasks as needed.
About You:
- You are discreet, reliable, and trustworthy.
- You have working knowledge of Microsoft Office, spreadsheets, and program management software.
- You have excellent written and verbal communication skills.
- You have calendar management skills
- You can work a flexible work schedule, including weekends, holidays, and after-hours duties.

Minimum Qualifications
Bachelor’s Degree required.- 3+ years of experience.

Residency Requirement
New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
