Job Title: Administrative Assistant

Location: Edmonton, AB (In-Person Position)

We are looking for a highly organized and proactive Administrative Assistant to join our growing team in Edmonton. This role is integral to maintaining smooth office operations and supporting a range of administrative, HR, and coordination responsibilities.

Key Responsibilities:

  • Answer and route phone calls in a professional and courteous manner
  • Greet and assist visitors and clients in person
  • Maintain physical and/or virtual office and shop supplies, including stationery and inventory requirements
  • Handle incoming and outgoing mail, shipping, and courier services
  • Perform general clerical duties, including filing, scanning, and data entry
  • Take accurate and detailed meeting minutes
  • Provide HR support — posting job ads, reviewing resumes, preparing letters of employment, and maintaining HR documentation
  • Oversee building maintenance, including scheduling repairs and services
  • Coordinate webinars — scheduling, organizing materials and samples, arranging lunches, managing post-event procedures, and assisting with New York in-person meetings
  • Communicate with vendors, establish new accounts, and maintain vendor relationships
  • Manage sample and textbook inquiries
  • Maintain and update marketing contact lists
  • Support marketing initiatives and follow up on leads
  • Assist with a variety of administrative and special projects assigned by Management
  • Coordinate rental tenant repairs, maintenance, and lease renewals

Qualifications:

  • Minimum 2 years of experience in an administrative or office support role
  • Strong organizational and multitasking skills with excellent attention to detail
  • Exceptional communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and virtual meeting platforms (Teams, Zoom etc.)
  • Ability to handle confidential information with discretion and professionalism
  • A positive attitude, adaptability, and a proactive approach to problem-solving

Work Environment:

This is a full-time, in-person position based in our Edmonton office.
