What We’re Looking For

  • Previous administrative or office experience (trade, construction, or service industry experience is an asset)
  • Strong organizational and time-management skills
  • Excellent written and verbal communication abilities
  • High attention to detail and accuracy
  • Comfortable working with invoicing, CRM, and accounting software
  • Proficiency with computers and office software (Microsoft Office, Google Workspace, etc.)
  • Ability to work independently, manage priorities, and take initiative

What You’ll Be Responsible ForAdministrative & Customer Support

  • Answer and manage incoming phone calls, emails, and customer inquiries
  • Handle customer intake, filtering, and accurate data entry
  • Schedule service appointments and coordinate with plumbing technicians
  • Maintain organized digital job files

Invoicing, Financial & Systems Support

  • Manage invoicing and point-of-sale (POS) systems
  • Prepare and issue invoices, estimates, and work orders
  • Track payments and receivables
  • Assist with basic bookkeeping tasks
  • Correspond with payroll and bookkeeping providers, including submission of P&L reports
  • Back-cost completed projects by tracking labour time, materials, and miscellaneous expenses

CRM, Follow-Ups & Business Support

  • Assist with CRM system setup, maintenance, and data accuracy
  • Conduct customer follow-ups for reviews, referrals, and repeat business
  • Support business development through organized and professional customer communication

Compliance & Documentation

  • Maintain up-to-date records for certificates, insurance, licenses, and required documentation
  • Ensure compliance documentation is current and readily available, including WSIB, trade certifications, municipal licensing, and insurance records

Pay: $25.00-$30.00 per hour
