Overview

Responsibilities
- Greet children and families enthusiastically when they enter and exit the school.
- Efficiently schedule staff hours and keep track of staff responsibilities throughout the building daily.
- Manage Parent information system (child and family information).
- Send out monthly meet and greet emails to each parent after approval by the Director.
- Assemble Welcome Packets and all materials needed for new enrollees and transitions.
- Coordinate special activities with staff as appointed by the Director.
- Responsible for ordering office supplies within the approved budget.
- Responsible for meeting with the Administrative Support Coordinator to determine what janitorial supplies need to be purchased weekly.
- Track and input updated and required forms into the Parent Information System, such as immunization records.
- Track NCDHHS-required forms with expiration dates.
- Verify allergy reports are run weekly so that the kitchen staff has an accurate count of allergies and attendance per room. Send allergy updates to the Administrative Support Coordinator. Keep all allergy and asthma plans up to date and send them to the Head of School for approval.
- Available always for teacher/classroom support such as bathroom breaks, ice packs, planning, meet and greets, naptime assistance and filling in for teacher absences.
- Keep lobby clean.
- When applicable, clean and sanitize Healing Haven and empty bleach at end of day.
- When applicable, sanitize toys in The Square (multi-purpose room).
- Keep Training Room (in Providence building) or Teacher Lounge (in Westbury building) organized and neat.
- Report hazards, unsafe conditions, or critical information to the Director and the Head of School.
- Maintain state, fire, and safety standards in the program, staff, and facility, and help schedule monthly fire drills.
- Keep current on all continuing education, licensing, and sanitation regulations.
- Follow all licensing guidelines to maximize facility staff and child safety.
- Work at either the opening or closing of PPS, recognizing the unpredictability of scheduling that routinely occurs after 3:00 PM on any given afternoon, which may consistently require working to 5:30 PM even if serving as an opener.
- Have a good understanding of PPS’ Wait List and its impact on enrollment, as well as all of the aging-up transitions that arise from children already enrolled at PPS, and will assist the Director with enrollment and transitions if appropriate.
Skills and Qualifications:
- Early Childhood Education administrative experience preferred.
- High level of organizational skills.
- Ability to be flexible and be able to handle the unpredictable events that predictably and routinely occur in the Front Office.
- Ability to assume the responsibilities of the Director with or without notice
- Can effectively and efficiently manage the daily schedules of the teachers working in conjunction with the Director, whether serving as opener or closer of the Front Office.
- Always communicates effectively and professionally with parents, both in person and on the phone.
- Positive attitude and self-image. Accepts suggestions positively, both verbally and in writing.
- Motivated, self-starter who communicates clearly with correct grammar.
- Can plan ahead and is skilled at strategic thinking.
- Able to react quickly and prioritize urgent needs.
- Has general knowledge of MS Excel, MS Word, Canva, and Adobe.
- Demonstrates flexibility, enthusiasm, and a desire for a win-win result between Teachers and the Front Office.
- Professional appearance consistent with PPS’ expectations.
- Takes ownership of the position and seeks improvement of the overall job for which she/he is responsible.
- Demonstrates flexibility and enthusiasm on the job, and understands that the hours worked each day are not fixed and could be more than eight (8) hours per day.
- Works towards a positive image of the PPS, including its staff, children, and parents.
- Thoroughly understands the school’s mission, core purpose, philosophy, and goals.
- Uses positive communication with children, parents, and staff.
- Can take immediate physical action to mitigate unsafe conditions for children and adults or remove a child from such conditions.
- Has the physical ability to move almost any object that may pose a safety hazard.
- Understands who your customer is and that the customer is not always right, but they are always the customer.
Education and Training Requirements:
- Bachelor’s Degree in Early Education and 5 years of teaching experience in a licensed child care center. Administration experience preferred.
- Achieve “Level III” Administrator within one (1) year of start of position.
- Regularly participates in continuing education and constantly strives for professional knowledge.
