As a Clients Service Specialist at Conte Wealth Advisors (CWA), you will be a key member of our Camp Hill, PA office, supporting the advisors with a combination of concierge-level service and essential administrative functions. You will be a highly visible representative of our firm, often serving as the first point of contact for clients and visitors. At the same time, you’ll work behind the scenes to support advisors in preparing for meetings, ensuring compliance, and managing follow-up tasks with care and accuracy. You’ll be integral to fostering client trust, streamlining processes, and maintaining a professional and welcoming environment.

Duties and Responsibilities:

Client Experience & Concierge Responsibilities

· Provide warm, professional front-desk coverage and greet all visitors and clients with enthusiasm.

· Answer and direct incoming calls on a multi-line system with professionalism and efficiency

.· Coordinate and manage advisor-client meeting schedules and ensure meeting spaces are properly prepared with refreshments (including placing and coordinating catering orders as needed), printed materials, and functioning technology.

· Proactively schedule, confirm, and reschedule client appointments in coordination with advisors, ensuring all parties are aligned and meeting cadences are maintained.

· Oversee office hospitality, ensuring a polished and welcoming environment in all public spaces.

· Support event planning and execution for client appreciation functions, seminars, and internal events.

· Manage mail, deliveries, and outgoing shipments.

Client Service Operations & Administrative Support

· Prepare and process custodial forms (e.g., account openings, transfers, distributions, beneficiary changes).

· Track account service requests through completion and follow up with custodians and vendors as needed.

· Input and update client data in CRM (e.g., Redtail) and ensure all documentation is audit-ready and compliant.

· Assist with document prep, scanning, data entry, and reporting to support advisor and client needs.

· Draft and send professional correspondence including confirmations, form instructions, and meeting follow-ups.

· Maintain accurate, up-to-date client files and track service workflows to prevent missed steps or delays.

· Identify opportunities for improving efficiency, accuracy, and the overall client experience; participate in internal improvement projects.

· Help develop, maintain, and improve Standard Operating Procedures (SOPs) for service workflows.

· Collaborate across functions with paraplanners, advisors, compliance, and operations teams to ensure seamless execution of client service.

Meeting Preparation & Follow-Up

· Run client reports and prepare review materials in advance of scheduled meetings.

· Coordinate with advisors to ensure they are fully prepared with planning documents, prior meeting notes, and key action items.

· Monitor post-meeting action items and follow through on implementation steps (e.g., form execution, status updates, scheduling next reviews).

Technology & Professional Development

· Proficiently use Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) and CRM systems (Redtail preferred).

· Embrace new technologies and tools used within the firm; assist with onboarding and training others as needed.

· Stay informed on the basics of financial planning, investment operations, and custodial processes.

· Demonstrate a growth mindset and interest in furthering knowledge through continuing education or certifications (e.g., FPQP®).

Education & Experience:

· 1–3 years of experience in a professional or client service environment; financial services preferred.

· High school diploma required; associate or bachelor’s degree preferred.

· Experience with CRM systems (Redtail or similar) and custodial platforms is a plus.

· Familiarity with virtual communication tools (Microsoft Teams, Zoom).

· Willingness to work occasional evenings or weekends for firm events.

Compensation & Benefits:

· Competitive salary based on experience, with opportunities for bonuses and professional development

Pay: $45,000.00 - $50,000.00 per year
