About Kinore
Kinore Finance and Business Services is seeking a highly organised, self-motivated, and client-focused Company Secretarial Administrator to join our Dublin office.
This role is well suited to someone who is comfortable working independently, as you will be the only Kinore team member based on-site in Dublin. While you will work closely with and be supported by the wider team remotely, your day-to-day responsibilities will focus on delivering high-quality administrative and company secretarial support, along with providing a professional front-of-house experience for visiting clients.

About the Role
You will act as the first point of contact for clients visiting the Dublin office, while supporting company secretarial processes, compliance tasks, and general administration.
This is a varied role that requires strong organisation, attention to detail, and the ability to manage your workload independently, while staying closely connected to colleagues across the wider business.
Key Responsibilities
- Act as the face of Kinore, meeting and greeting clients and visitors
- Manage incoming post (including CRO correspondence) and coordinate outgoing deliveries
- Maintain and update company records and statutory registers
- Assist with CRO filings and company secretarial compliance tasks
- Prepare documentation including resolutions, correspondence, and client communications
- Respond to client queries via phone and email in a timely and professional manner
- Manage virtual office services (mail handling, scanning, forwarding)
- Coordinate notarisation, apostille, and document certification processes
- Support PPS number applications for non-resident directors
- Maintain accurate data across internal systems
- Handle document execution processes, including share certificates and company seals
- Manage petty cash and general administrative duties
- Conduct client feedback calls to support continuous improvement
- Ensure all activities are GDPR compliant
- Liaise regularly with the wider Kinore team and provide updates where required

Essential Requirements
- Minimum 1 year’s experience in an administrative or company secretarial role
- Strong Microsoft Office skills (Outlook, Word, Excel)
- Excellent organisational skills and attention to detail
- Ability to work independently while maintaining strong communication with a wider team
- Business/ Law/Accounting Graduate
Desirable
- Experience with systems such as Senta, CORE, HubSpot, AMLHQ, or similar
- Understanding of Irish Company Law and CRO processes
- Experience in a professional services environment

Job Types: Full-time, Permanent, Graduate
Pay: €27,000.00-€30,000.00 per year
