Role Overview

As the Executive Assistant, you will serve as the operational backbone for the CEO and the organization. This role requires a unique blend of meticulous financial record-keeping, high-stakes event coordination, and brand stewardship. You will be the primary point of contact for the company, ensuring that administrative, financial, and strategic operations run seamlessly.

Job Description / Responsibilities

1. Financial Administration & Compliance

  • Bookkeeping & Record Management: Maintain comprehensive records of office and management accounts, ensuring all income and expense details are documented with precision.
  • Budgetary Tracking: Monitor and report on key budgetary metrics; track variances between planned and actual spend to support data-driven decision-making.
  • Invoicing & Documentation: Oversee the end-to-end lifecycle of accounts payable and receivable, ensuring all invoices are filed in appropriate formats and processed on time.
  • Audit & Liaison: Act as the primary bridge between the company and external audit teams or vendors to ensure financial transparency and compliance.

2. Event & Operational Logistics

  • End-to-End Coordination: Manage complex logistics for company events, including auditorium booking, stage management, and hall arrangements.
  • Talent & Guest Experience: Lead artist management, ticketing/entry systems, and the coordination of catering and travel requirements.
  • Stakeholder Relations: Execute administrative tasks involving various external vendors and stakeholders to ensure high-quality service delivery.

3. Strategic Communication & Brand Stewardship

  • Custodian of Communications: Serve as the official contact person for the company and the CEO. Manage the official contact number across all platforms, responding to inquiries with professional ethics and brand-aligned standards.
  • Cross-Functional Alignment: Coordinate with the internal content, video, and social media teams to ensure a cohesive brand voice between offline operations and digital presence.

4. Executive Support

  • Schedule Management: Proactively manage the CEO’s calendar, travel, and administrative requirements to maximize their productivity.

Ad-hoc Strategic Support: Execute additional responsibilities as required to meet the strategic goals of the company and management.

Desired profile of the candidate

Qualification

Commerce Graduate from any university.

Experience & Professionalism

  • Proven Track Record: Minimum 1–2 years of experience in administrative, secretarial, or executive support roles.
  • Operational Excellence: Demonstrated ability to manage multi-faceted logistics (venues, artists, and vendors) under tight deadlines with a "problem-solver" mindset.
  • Financial Acumen: Strong literacy in bookkeeping principles and budget tracking; comfortable managing income-expense reports and audit documentation.
  • Work Ethic: Highly disciplined, punctual, and diligent. We are looking for a candidate who thrives in a dedicated office environment (this is a 100% in-office role; no hybrid/remote options).

Communication & Cultural Nuance

  • Trilingual Fluency: Exceptional verbal and written communication skills in English, Bengali, and Hindi.
  • Cultural Connection: A creative thinker with a deep understanding of the Bengali audience, tone, and culture—essential for aligning offline events with digital branding.
  • Interpersonal Prowess: Poised and professional demeanor with the "soft skills" necessary to lead official meetings and negotiate effectively with third-party vendors.

Technical Proficiency

  • Administrative Suite: Advanced proficiency in MS Office (Excel, Word) and a flair for creating high-impact PowerPoint presentations.
  • Digital Aptitude: Tech-savvy and comfortable navigating financial software, scheduling tools, and social media platforms.

Bonus Qualifications (Preferred but not required)

  • Experience or certification in Digital Content Creation or Social Media Management.
  • Specialized training in event management, accounting, or secretarial practice.
  • Previous experience working directly with C-suite executives or in the media/arts sector.

Operational Details

  • Location: Kasba, South Kolkata (A prime, accessible hub for the city's creative professionals).
  • Working Days: Monday to Friday (Weekend flexibility required only during live concert cycles).
  • Office Hours: 10:30 AM – 7:00 PM.
  • Work Culture: High-performance, disciplined, and creatively driven. Note: We do not offer hybrid or remote working arrangements, ensuring our first core team builds strong professional synergy.
