Sensational Kids is seeking a part-time Executive Assistant to support our Chief Executive Officer. This role involves providing high-level, confidential administrative assistance and occasional project management support. Acting as the CEO’s gatekeeper, you will manage diaries, correspondence, travel, and meetings (including board meetings), as well as providing admin support and prepare reports and briefing materials to ensure the CEO can focus on strategic priorities. The position requires exceptional discretion, organisational ability, strong communication skills, and the capacity to multitask effectively.


Job Title: Executive Assistant to CEO
Location: Remote, with availability to attend meetings in Kildare Town
Reports to: CEO
Employment Type: Permanent Part-time, 25 hours per week
Salary: €30,000 Gross Annual Salary for 25 hours per week

Role Overview

We are seeking a highly organised, proactive, and discreet Executive Assistant (EA) to support our CEO in managing day-to-day operations and strategic initiatives. This role requires exceptional communication skills, attention to detail, and the ability to handle confidential information with integrity. You will both anticipate and respond to the CEO’s needs, including but not limited to the following responsibilities.


Key Responsibilities

Executive Support

  • Manage the CEO’s calendar, appointments, and travel arrangements.
  • Prepare meeting agendas, minutes, and follow-up actions, ensuring the CEO receives all briefing materials in a timely manner.
  • Screen and prioritize emails, calls, and correspondence.
  • Handle internal and external communications on behalf of the CEO.
  • Proactively plan with the CEO to ensure actions are completed and meetings are scheduled appropriately.
  • Perform general administrative tasks as required.

Administrative Duties

  • Draft and proofread documents, presentations, and reports for the CEO.
  • Coordinate internal and external meetings and events.
  • Maintain accurate records and filing systems.
  • Assist with recruitment and employment administration and documentation processing of Garda Vetting.
  • Assist with preparation of funding reports and funding administration.
  • Preparation and submission of lobbying returns.

Project Coordination

  • Assist with special projects and organisational initiatives.
  • Liaise with internal teams and external stakeholders on behalf of the CEO.

Support to the Board: You will work closely with both CEO, FC, and Chair of the Board to deliver the following

  • Schedule and provide logistical support for all Board and Board Sub-Committee meetings
  • Take minutes for board sub-committee meetings, and follow up on actions
  • You will coordinate the preparation and timely completion of all Board and Board Sub-Committee agendas and papers
  • You will coordinate the preparation, collation and submission of documentation and legal requirements for non-executive Directors with relevant bodies (ie CRO, CRA) under the guidance of the Financial Controller
  • You will keep accurate records of non-executive Directors internally, and ensure submission for relevant filing or reporting under the guidance of the Financial Controller
  • You will maintain Board information and serve as a point of contact for non-Executive Directors
  • You will coordinate the onboarding of new Board and Board Sub-Committee members

Support to the Organisation

  • Schedule, coordinate the timely preparation of agendas and take minutes for all Management Team meetings (and other meetings as required)
  • You will follow up on actions arising from Management meetings to ensure they are completed, or tabled at subsequent meetings

Confidentiality & Professionalism

  • Handle sensitive information with discretion.
  • Represent the CEO and organisation professionally at all times.
  • Like all staff, you will act as an ambassador for Sensational Kids at all times.

Skills & Experience

Essential

  • Proven experience as an Executive Assistant, or similar role with a minimum of 1-2 years of experience in supporting senior management, demonstrating strong administrative and organisational skills, with the ability to work independently in a hybrid work environment.
  • We are looking for someone with strong digital skills who is calm under pressure, a warm personality, a curiosity and desire to learn.
  • Strong written and verbal communication abilities.
  • High level of discretion and confidentiality.
  • Strong attention to detail and commitment to excellence.
  • Excellent organisational and time-management skills, always thinking ahead.

  • You have a natural curiosity and desire to learn.
  • You demonstrate the highest levels of integrity as a consummate professional, demonstrating good judgement, and able to operate with full confidentiality

Desirable

  • Experience in the non-profit or healthcare sector.
  • Knowledge of governance and board administration.
